About the Role
We are seeking a highly organized and proactive Executive Assistant to support the Commercial Sales team. This role will be instrumental in managing schedules, coordinating meetings, and ensuring smooth day-to-day operations for the leadership team. The ideal candidate is detail-oriented, adaptable, and thrives in a fast-paced environment.
Responsibilities:
- Manage complex calendars and schedule meetings across multiple time zones, ensuring alignment with business priorities.
- Coordinate travel arrangements, itineraries, and accommodations for team members attending client meetings, conferences, and events.
- Plan and execute board meetings, team meetings, offsites, and internal events, including agenda preparation and follow-ups.
- Serve as the primary point of contact for scheduling requests, prioritizing meetings based on urgency and business needs.
- Assist in preparing reports, presentations, and correspondence for leadership.
- Track key deadlines, deliverables, and follow-ups to ensure timely execution of initiatives.
- Liaise with internal and external stakeholders, including clients, vendors, and partners, to facilitate seamless communication.
- Support administrative tasks, such as expense reporting, procurement requests, and document management.
- Proactively identify opportunities to improve operational efficiencies within the Commercial Sales team.
Requirements:
- 4+ years of experience as an executive assistant or in a similar administrative role supporting senior leaders.
- Proven ability to manage multiple priorities in a fast-paced, dynamic environment.
- Strong organizational skills and attention to detail, with the ability to anticipate needs and take initiative.
- Excellent communication and interpersonal skills, with the ability to work across teams and cultures.
- High level of discretion and professionalism in handling sensitive information.
- Proficiency in Google Workspace and experience with collaboration tools such as Slack, Zoom, and project management platforms.
- Ability to work independently while maintaining a strong sense of teamwork and collaboration.
- Experience working in a sales-driven or commercial environment is a plus.
