Meet the team: 

Join our site leadership team as an Executive Assistant, where you'll coordinate a wide variety of administrative and operational functions. You'll manage schedules, travel, projects, meeting agendas, and act as a liaison to internal and external entities. This role requires a highly organized and self-motivated individual who is flexible and can thrive under pressure.

Where you come in:

  • You coordinate leadership schedules, meetings, agendas, and meeting materials, along with reserving meeting facilities.
  • You complete projects and special assignments by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress, problem-solving, and adjusting plans.
  • You improve the corporation’s reputation by taking ownership of new and diverse requests and exploring opportunities to contribute to job accomplishments.
  • You greet visitors, guide them, manage correspondence, plan events, address inquiries, and handle executive communications.
  • You develop travel itineraries, book transportation, arrange lodging, and manage expenses following company policies.
  • You collaborate with other sites to exchange information and best practices in support of site day-to-day operations.
  • You handle sensitive information and maintain confidentiality of all personal and corporate matters.
  • You work with all levels of employees and coordinate events and projects effectively.
  • You assist with onboarding new hires that report directly to the directors.
  • You order and deliver catering for breakfast and lunch meetings.
  • You coordinate offsite team meetings and team-building events.
  • You build e-newsletters, town hall slides, and other meeting materials as requested.
  • You order and maintain supplies and arrange for equipment maintenance.

  • You have in-depth knowledge of company operations.
  • Your written, verbal, analytical, and interpersonal skills are excellent, and you can effectively and professionally work with all levels of employees.
  • You are able to work independently.
  • You are available to travel to tradeshows for onsite coordination.
  • Your technical and computer expertise (Microsoft Office including Excel and PowerPoint) is strong, and you possess advanced computer skills with the ability to train others on system usage.
  • You are familiar with travel and expense management through Concur.
  • Your organizational and planning skills, communication skills, respect for confidentiality, attention to detail and accuracy, judgment and independent decision-making ability, problem analysis and problem-solving skills, adaptability, initiative, information gathering, and monitoring skills are exceptional.
  • You are self-disciplined, self-motivated, extremely flexible, meticulous, accurate, detailed, and dependable.
  • You may occasionally be accessible at various times outside of a typical workday and possibly weekends to make changes to travel and schedules.

Experience and Education:

  •  Typically requires a Bachelor’s degree and a minimum of 2-5 years of related experience.
