Job Description

Purpose of the role:

The Executive Assistant will provide day to day administrative support to the Renewables and Private Equity Group and the Corporate Group including Fund, Finance, Legal & Reg, CoSec & IT teams in Brookfield Singapore.

Responsible for:

Delivery of proactive secretarial support in order to manage the day- to-day requirements, including:

  • Provide executive assistance support to the Renewable, Private Equity and Corporate office teams as well as overflow support to the administration team, i.e., assist with reception relief, EA annual leave, event preparation, concur coding and office administrative tasks when required

  • Diary management for nominated team members including meeting room bookings, teleconference set up, catering, conferences, and events

  • Managing MS Office Calendars by creating invites, responding to invitation requests, coordinating with other Global EA’s and key internal and external stakeholders in a timely manner

  • Manage end to end travel including flights, visa, documentations, hotels, transportation expense claims

  • Support in the organisation of meetings, video and teleconferences for the broader team as required.

  • Seminar / webinar logistic support

  • Preparation of PowerPoint presentations as required

  • Translate/prepare presentation material, prepare packs

  • Photocopying/printing/binding of documents, as required by team members.

  • Manage and process invoices as required.

  • Oversee the day-to-day operations of the Concur system, ensuring timely entry of expenses

  • Monitor and manage monthly card statements for accuracy.

  • Support the onboarding for new starters in Renewables, Private Equity and the Corporate Office teams, including desk and IT requirements, corporate card management, concur access and arranging new starter orientation for these individuals.

  • Support offboarding for employees in Renewables, Private Equity and the Corporate Office teams, including IT access switch off, arranging return of company assets

  • Assist in managing Brookfield events for the Singapore office

  • Support and contribute to the APAC EA/Admin support network, attend monthly meetings and provide regional updates

  • Report gifts & entertainment for all teams

  • Provide support for basic compliance duties and administrative support on all corporate secretarial matters

  • Document management including creating and maintaining effective filing and archiving process

  • Support any other ad hoc requests / task when needed

Qualifications/ Experience/Skills

  • Formal qualifications are an asset but not essential

  • Fluency in English, Mandarin.

  • 5+ years’ experience in an office/corporate environment supporting senior management.

  • Ideally experience working in an international organisation

  • Demonstrate skills to be able to work in a high pressure, highly demanding, changing working environment.

  • Respect for privacy and confidentiality.

  • Experienced in using Microsoft Office products including PowerPoint, Microsoft Word, Microsoft Excel and Microsoft Outlook, Visio.

  • Strong organisational skills.

  • High attention to detail.

  • Ability to:

    • Work independently (unsupervised)

    • Prioritise tasks

    • Communicate effectively and confidently with all members of the team

    • Adapt to change in arrangements

    • Interact at all levels within the organisation and external contacts

  • Friendly, outgoing and helpful attitude who can adapt to working with a variety of personalities within the team.

  • Able to develop a strong internal/external network.

  • Strong written and verbal communication skills including preparation and delivery of presentations.

  • Self-motivated and proactive, both with respect to managing workload and own professional development.
