Site Operations Department

The Site Operations Department is responsible for the performance of mechanical and electrical systems, building maintenance, and the support of data modules within our data centres. This team is the face of Vantage to our customers, responsible for business continuity and striving for operational excellence.

Position Description

Critical Facility Operations teams manage our buildings and ensure best-in-class data center services for our customers. These teams comprise of Critical Facility Engineers who are Vantage’s front-line for managing critical electrical and mechanical infrastructure operations. Providing best-in-class services requires in depth plant equipment knowledge, and proficiency in critical facility management processes including change, incident and problem management.

We are seeking a detail-oriented Training and Development Coordinator to join our team, specializing in content creation and training delivery to support our Critical Facility Operations teams. This role involves interfacing with both our new and existing site teams, designing site-specific and process specific training material, reporting on progress, and tracking toward completion targets. The Training and Development Coordinator will contribute to supporting the growth and development of teams across multiple countries, support documentation development requirements, such as presentation packs and procedure writing and facilitate the education and adoption of Critical Facility processes. The ideal candidate will possess excellent communication and face-to-face skills, strong technical writing capabilities, and have experience in, or an understanding of critical facilities with an operational mindset.

Essential Job Functions

  • Content Creation: Develop comprehensive and clear training materials, manuals, and documentation tailored to site-specific needs for onboarding and upskilling Operations Engineers.

  • Training Delivery: Collaborate with site teams to deliver and facilitate effective training sessions, ensuring all staff members understand and utilise the training content.

  • Documentation Development: Assist in the creation and refinement of various document types, including training material, operational guidelines, and emergency procedures.

  • Quality Assurance: Ensure documentation and training materials are accurate, up-to-date, and adhere to company standards and industry best practices.

  • Documentation Review: Conduct regular review of written material ensuring alignment to company expectations and providing feedback and recommendations to improve documentation.

  • Stakeholder Communication: Interface with various site teams to gather site specific information, understand their needs, and incorporate feedback into documentation and training material.

  • Progress Reporting: Provide regular updates on the progress of documentation projects and training, tracking against completion targets to ensure delivery within target dates.

  • Continuous Improvement: Identify opportunities for improving training delivery and documentation processes, implementing best practices to enhance efficiency and effectiveness.

Duties include but not limited to

  • Develop, design, and deliver site-specific training materials for data center facility management teams.

  • Ensure training materials are comprehensive, clear, and tailored to the needs of each site.

  • Conduct training sessions, both in-person and virtually, ensuring effective knowledge transfer and engagement for both new and existing sites.

  • Work closely with site teams to identify training needs and gather relevant information.

  • Maintain regular communication with site teams to ensure training materials are up-to-date and relevant.

  • Provide support and guidance to site teams during training sessions and follow-up as needed.

  • Track and report on training progress, ensuring alignment with completion targets.

  • Maintain accurate records of training sessions, participant progress, and feedback.

  • Analyze training data to identify areas for improvement and make recommendations.

  • Assist in the development of other documentation needs, including procedure writing and drilling materials.

  • Ensure all documentation is clear, accurate, and adheres to company standards.

  • Collaborate with other departments to gather necessary information for documentation.

  • Help Coordinate in periodic site-specific crisis management drills to ensure full preparedness to respond effectively to an unplanned change-of-state event.

  • Participate in operations and technical compliance audits and ensure timely completion of improvement plans.

  • Perform periodic technical and quality reviews of all MOP, SOP and ERP to ensure the most up to date techniques and safety guidelines are utilized as well as compliant with government regulations.

  • Strict adherence to safe work practices for all work activities.

Job Requirements

  • Diploma/Degree in Electrical Engineering, Mechanical Engineering, or relevant discipline.

  • A technical background in data center facility operations, engineering, IT, or a related technical field.

  • Experience in or understanding of critical facilities, with an operational mindset.

  • Excellent communication skills, both written and verbal English, with the ability to engage effectively with diverse teams.

  • Proficiency with technical writing, with a portfolio of previous work demonstrating strong capability.

  • High level of accuracy and attention to detail in all written materials.

  • Prior experience in delivering training sessions and experience in creating training material is desirable.

  • Strong organizational skills, with the ability to manage multiple projects simultaneously and meet deadlines.

  • Ability to work collaboratively with cross-functional teams and stakeholders.

  • Flexibility to adapt to changing priorities and requirements in a dynamic work environment.

  • Travel is expected to be less than 5%, occasionally for training purposes.
