Job DescriptionWe’re looking for a Junior People Operations Specialist to join our People Operations team in our Singapore office. This is an exciting time to join us as we move towards Shared Services and continue to scale the team globally. You will be working with our existing team based in Singapore and Japan day-to-day providing a seamless and customer focussed experience across the Wiser lifecycle. You will be supporting the teams based in APAC primarily and other locations we have globally. This is a great opportunity for someone who is looking to develop and add impact to a fast growing team and enable the Global People Operations’ vision to create fast, convenient and transparent Wiser support, powered by smart tech and human advice.
Achieving your mission:
Onboarding:
Be the first point of contact of our Wisers
Manage the administrative process of onboarding new Wisers in the APAC region to start and eventually globally, ensuring that the Wiser journey is as smooth as possible with everyone involved kept in the loop
Coordinate adaptable onboarding plans, and collaborate on future changes that aligns to Wise’s way of working
Help out new hires with relocation documentation and logistics, as needed including travel and accommodation bookings for relocators
Coordinating with our User Tech and Workplace team to ensure our new Wisers are set up for success on day 1 including access card & workstation collection both onsite & offsite across APAC.
Support work visa application for our new Wisers as well as their dependents
Support Leads with any onboarding guidance needed
Run local onboarding sessions, sharing relevant newbie information for that first week (e.g. joiners, benefits, etc.)
Handle all first day new Wiser administration (e.g. employment contracts, right to work checks, benefits enrollment, welcome email etc.)
Be the owner of our onboarding session deck, making sure this is updated and contains updated information that our newbies will need
Collaborate with our APAC People team in facilitating newbie engagement & networking
Wiser Support:
Produce letters and references relating to visa applications, travel and the Wiser lifecycle
Support with work pass renewals for our existing Wisers in the region
Working with and maintaining our HR system (Workday) and other custom apps with high levels of accuracy
Process all Workday actions in relation to Wiser lifecycle
Maintain and update the People Operations content on Confluence, making sure that information is accurate and up to date
Tracking and maintaining business trips tracker for our Wisers visiting Singapore
Coordinate annual health checks requirement in certain countries in the APAC region (ie, Japan, Singapore, etc.) to start and eventually globally
Support any ad hoc People related admin requests
Support our Payroll team with any documentation they need to process changes (joiners, benefits, leavers, etc.)
Offboarding:
Handle all last day administration for our leaving and relocating Wiser (e.g. cancel work pass if applicable, deactivate benefits, etc.)
Work closely with our Workplace and UT team in making sure all company issued equipment is returned on the last working day
Team initiatives:
Own the People team’s Service Desk by responding to queries
Document new processes within the People Operations space
Maintain and ensure our internal process documentation is up to date
Deliver both local and global projects with focus on the best Wiser experience and Operational Excellence
