As the School Head of Administration, this role leads the development and implementation of organizational strategies, policies, standards, structures, systems and practices to achieve the overall goals of the School. Overseeing business operations, processes, initiatives and resources, the role provides integrated efficient and effective administrative services within the school, that are aligned with the School’s strategic goals and objectives and the University’s policies and processes.

This role provides foremost support to the School Management on strategizing and setting up of new initiatives, such as Capital Campaigns, Continuing Education, Community Engagement and External Relations.

Job Responsibilities:

Strategic Planning and Implementation

  • Work closely with the Chair in charting the strategic directions and roadmaps of the School in alignment with the University’s goals.

  • Work with the central administrative offices and College to align and coordinate workflow processes between functions and departments within NTU.

  • Drive administrative excellence as a potential strategic advantage for the University.

  • Oversee strategic communications at the School

  • Oversee and coordinate technical operations in the school including close collaboration with IT and pathway coordinators for Animation/Games, Visual Communication/Photography, Cinematic Arts and Transversal Design.

Organization and Operations Excellence

  • Accountable for all functional operations and administrative matters of the School. This includes (but is not limited to) areas in outreach and communications, specialized technical and technological laboratory support, international relations, research and grant administration, student care, facilities and general administration. Partner with respective functional business partners to address the school’s needs related to human resources, IT, finance and procurement.

  • Oversee and optimize the use of resources and develop systems and processes to support the initiatives of the School with adherence to corporate policies and guidelines.

  • Proactively develop, review and drive improvements in the School’s structure, systems, policies, processes and work to enhance organizational effectiveness.

  • Analyze statistical data and make recommendations on report and proposal submissions to the Chair.

  • Oversee planning and execution of student exchange programs and the School’s major events.

Budget Planning and Allocation

  • Oversee the overall financial operations of the school including financial reporting and analysis, budget planning and monitoring, as well as asset management, for financial effectiveness.

  • Serve as an advisor to the Chair and Associate Chairs to ensure that the overall School’s operations are in accordance with the University’s policies and guidelines.

Job Requirements:

  • Degree from a recognized university with at least 15 years of relevant professional experience, including leadership responsibilities in administration or operations.

  • Extensive relevant work experience, including leadership experience in operations, administration, or a related field.

  • Experience in a Senior Managerial or Leadership role with a track record of effective performance will be advantageous.

  • Experience in higher education or a related environment will be an advantage.

  • Familiarity with technical operations or IT processes relevant to art, design, or media environments is beneficial.

  • Strong stakeholder management, collaboration and conflict resolution skills.

  • Strong operational experience, IT savvy and proven managerial experience in strategic and financial budgeting planning

  • Demonstrated ability to lead cross-functional teams and drive operational improvements

  • Demonstrated strategic thinking and analytical capabilities with initiative, sound judgement and resourcefulness in problem solving.

  • Highly adaptable, self-motivated and proactive in managing evolving priorities and new challenges

  • Excellent interpersonal and communication skills to build a sense of community within the school.
