Role
We are seeking a Front Office Supervisor to join the team at Amangalla, located in Galle, Sri Lanka. This role reports to the Front Office Manager and is responsible for supporting the full operation of the Front Office. You will play a key part in leading and guiding the team to ensure a smooth and refined guest experience, consistent with Aman standards.

Responsibilities

  • Support the daily operations of the Front Office, ensuring seamless service delivery.
  • Allocate duties to Front Office colleagues including Receptionists, Cashiers and Butlers.
  • Coordinate with other departments to ensure smooth operations and guest satisfaction.
  • Manage guest requests, inquiries and ensure timely assistance.
  • Handle telephone operations, cashiering tasks and Front Office imprest fund.
  • Assist with reservation queries and ensure accurate guest information.
  • Liaise with the Food and Beverage team to distribute guest preferences and updates across Aman properties.
  • Prepare and maintain monthly inventories including Front Office and Boucher inventories.
  • Organise guest transfers and ensure transportation is arranged efficiently.
  • Ensure availability of par stock and guest supplies within the Front Office.
  • Uphold and monitor adherence to LQA standards and support training initiatives.
  • Oversee cleanliness and readiness of guest areas, conducting regular checks.
  • Review daily arrival reports and follow up on guest preferences and special instructions.
  • Ensure smooth arrival and departure experiences, including airport services.
  • Monitor room status through Opera and coordinate with Housekeeping for readiness.
  • Guide Front Office colleagues in following procedures and assist with routine audits.
  • Review guest correspondence and ensure accuracy and timely delivery.
  • Maintain and update guest history in CRM and Opera systems.
  • Prepare for group arrivals and departures to ensure seamless coordination.
  • Monitor grooming standards of Drivers and Chauffeurs and ensure vehicle cleanliness.
  • Act as a key point of contact for guest feedback and resolve issues with discretion.
  • Keep the Rooms Division Manager informed of unusual situations or guest concerns.

Requirements

  • Minimum 2 years of supervisory experience in Front Office operations within a luxury hotel or resort.
  • Strong communication and coordination skills with a focus on guest satisfaction.
  • Knowledge of Opera PMS and experience with CRM systems.
  • Ability to work collaboratively with internal departments.
  • Proficiency in written and verbal English communication.
  • Excellent organizational skills and attention to detail.
  • Knowledge of luxury service standards including LQA.
  • Ability to work in Sri Lanka with relevant legal authorization.
  • Diploma or degree in Hospitality or related field is preferred.
