Executive Assistant

Overview
We are seeking a highly organized, discreet, and proactive Executive Assistant to provide high-level administrative support to senior leadership. This role is critical to ensuring the smooth and efficient operation of executive activities, including calendar management, meeting coordination, travel arrangements, and confidential communications. The ideal candidate thrives in a fast-paced environment and demonstrates exceptional attention to detail and professionalism.
Key Responsibilities
- Provide executive-level administrative support including:
o Complex calendar management and meeting scheduling
o Domestic and international travel arrangements
o Preparation and processing of expense reports
o Taking, preparing, and distributing meeting minutes
o Managing incoming correspondence and calls with professionalism and discretion
- Draft and prepare high-quality reports, presentations, memos, and other communications.
- Support the coordination and execution of departmental initiatives and executive projects.
- Liaise with internal teams and external partners on behalf of the executive(s).
- Maintain confidential records and documents, ensuring accuracy and security.
- Assist in monitoring and tracking departmental budgets and expenditures.
- Order office supplies and manage department resources as needed.
- May support the coordination and supervision of temporary staff or junior team members.
About You
- Education: High school diploma required; associate’s or bachelor’s degree preferred.
- Experience: Proven experience as an Executive Assistant or in a similar high-level administrative role within a corporate environment.
- Skills & Abilities:
o Exceptional organizational and multitasking abilities.
o Excellent written and verbal communication skills.
o Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual collaboration tools.
o Strong interpersonal skills – able to build trust and relationships across all levels.
o Discreet and professional, with the ability to handle sensitive and confidential information.
o Comfortable working independently and anticipating the needs of executives.
