The Executive Assistant will provide dedicated on-the-ground support to the Executive Director in Singapore, covering business, personal and family-related matters. The role will work closely with the Executive Director's Executive Assistant in Hong Kong to ensure seamless coordination across locations as well as providing travel and expense administrative support to other Executives when required.

 

Key Responsibilities

 

Executive Director– Business Support

  • Provide day-to-day administrative and logistical support to the Executive Director while in Singapore.
  • Coordinate closely with the Executive Director's Hong Kong EA on calendar, meetings, travel, and other arrangements.
  • Manage and support the execution of the Executive Director's schedule and arrangements in Singapore.
  • Coordinate internal and external meetings, appointments, transportation, and other logistical requirements.
  • Arrange business travel, including flights, accommodation and ground transportation when required.
  • Prepare and submit travel and expense claims.
  • Liaise with internal teams and external parties on behalf of the Executive Director where required.
  • Provide local Singapore support for arrangements coordinated by the Hong Kong EA.
  • Provide ad-hoc support for urgent or time-sensitive matters.

Personal & Family Support

  • Provide day-to-day assistance for the Executive Director's personal and family-related matters in Singapore.
  • Coordinate family appointments, activities, reservations and schedules as required.
  • Assist with family travel arrangements, transportation and related logistics.
  • Coordinate household, personal services, deliveries, purchases and other arrangements.
  • Liaise with schools, service providers, vendors and other external parties where required.
  • Assist with personal errands and other family-related administrative matters.
  • Handle all personal and family information with a high level of confidentiality and discretion.

Senior Management Travel & Expense Support

  • Provide administrative support to Executives when required.
  • Assist with business travel arrangements, including flights, hotels and transportation.
  • Prepare and submit travel and expense claims on behalf of Executives.
  • Follow up on outstanding claims, documentation and reimbursement matters.
  • Coordinate with Finance, Travel and relevant internal teams on travel and expense-related matters.
