What You Will Get To Do:
The Executive Assistant, Asia, plays a pivotal role in supporting Calastone’s continued growth and expansion across the Asia region. As a key member of the Asia team, this role is responsible for ensuring the smooth and efficient operation of regional offices, overseeing office administration activities, and supporting business operations across multiple locations.
The position provides high-level executive support to the Managing Director, Asia, while also partnering closely with Sales and Relationship Managers to assist with client engagement, business development activities, and relationship management initiatives. The successful candidate will act as a trusted business support partner, helping to drive operational efficiency, coordinate regional activities, and contribute to delivering an exceptional experience for clients, employees, and stakeholders.
Manage day-to-day office operations across Asia, ensuring offices operate efficiently and in compliance with local regulatory and workplace health and safety requirements.
Coordinate office facilities, supplies, equipment, and vendor relationships, including supporting the execution and management of supplier contracts.
Monitor, manage, and report on office budgets and expenses, ensuring cost-effective operations.
Act as the primary point of contact for office-related queries and provide administrative support to employees across the region.
Support employee onboarding activities, including workspace setup, access arrangements, and coordination with relevant internal teams.
Coordinate regional and international courier services, mail distribution, and logistics between regional offices and headquarters.
Arrange domestic and international travel, accommodation, and itineraries for regional employees and visiting stakeholders.
Provide comprehensive administrative support to the Managing Director, Asia, including diary management, meeting coordination, travel arrangements, expense management, and correspondence.
Prepare meeting agendas, presentation materials, reports, management packs, data analysis, and minutes for management and leadership meetings.
Assist with the preparation of monthly reports and business updates for senior management.
Support the planning and execution of client events, marketing activities, industry conferences, seminars, and presentations.
Provide administrative and coordination support throughout the sales process, including CRM administration, client account management, presentation preparation, and meeting follow-up activities.
Assist with client onboarding activities and support global Salesforce and DMI-related enquiries where required.
Manage incoming calls, emails, and general enquiries, ensuring timely responses and appropriate escalation where necessary.
Act as a first point of contact for clients, visitors, and external stakeholders, delivering a professional and welcoming experience.
Coordinate meeting room bookings, visitor arrangements, catering, and hospitality services for internal and external meetings.
Provide ad hoc administrative, operational, and project support as required.
What You Will Bring:
Fluent business-level written and verbal communication skills, ideally this will also include Mandarin, Cantonese, and English
Previous experience or exposure to the financial services industry is highly desirable.
Strong proficiency in Microsoft Office applications, including Word, Excel, Outlook, PowerPoint, Project, and Access.
Self-motivated, proactive, and positive individual with the ability to work independently while contributing effectively as part of a team.
Confident and resilient, with the ability to thrive in a fast-paced, dynamic environment and manage competing priorities.
Excellent communication and interpersonal skills, with the ability to build strong relationships with clients, colleagues, and stakeholders both in person and over the phone.

Additional language skills would be advantageous.
