Role Purpose

The Safety Specialist supports the effective operation and continuous improvement of the Environment, Health & Safety Management System (EHSMS).

This role is responsible for the maintenance, coordination, and communication of EHS systems, including documentation control, SharePoint management, safety dashboards, EHS data, and internal and external communications. The Safety Specialist ensures that EHS information is accurate, accessible, current, and useful for decision‑making and assurance.

Key Responsibilities

1. EHS Management System (EHSMS) Administration & Maintenance

  • Support the EHS Manager in the day‑to‑day administration and upkeep of the DayOne EHS Management System.
  • Maintain EHSMS documentation, including:
    • Policies
    • Standards
    • Procedures
    • Forms and templates
  • Ensure version control, document accuracy, and alignment with approved EHS requirements.
  • Assist in periodic EHSMS reviews, updates, and system audits.

2. EHS Documentation & Records Control

  • Manage EHS document control processes, ensuring:
    • Consistent naming conventions
    • Proper approval workflows
    • Controlled access to current documents
  • Maintain EHS records such as:
    • Training records
    • Audit reports
    • Inspection findings
    • Incident and near‑miss records
  • Support compliance with internal governance and regulatory expectations for EHS documentation.

3. SharePoint & Digital Platform Management

  • Administer and maintain EHS content on SharePoint or equivalent digital platforms, ensuring:
    • Logical structure and navigation
    • Up‑to‑date and accurate content
    • User‑friendly access for internal and external stakeholders
  • Upload, archive, and retire EHS documents in line with document control requirements.
  • Support continuous improvement of digital EHS platforms in collaboration with IT and EHS leadership.

4. Safety Dashboard & EHS Data Management

  • Collect, consolidate, and maintain EHS performance data from sites, contractors, and internal systems.
  • Develop and maintain safety dashboards, including:
    • Leading and lagging indicators
    • Audit and inspection trends
    • Incident and near‑miss data
  • Ensure data accuracy, consistency, and timeliness.
  • Support the EHS Manager with trend analysis and insights to inform decision‑making and reporting.

5. Internal & External EHS Communication

  • Support the preparation and distribution of EHS communications, including:
    • Safety alerts
    • Lessons learned
    • EHS updates and bulletins
    • Campaign and initiative materials
  • Coordinate EHS communication for internal stakeholders (leadership, site teams, functions).
  • Support controlled EHS communication with external parties, such as:
    • Contractors
    • Auditors
    • Clients or partners (as required)
  • Ensure messaging is consistent, clear, and aligned with DayOne EHS standards.

6. Reporting & Management Support

  • Prepare recurring EHS reports and presentations for:
    • EHS Director
    • Project or site management
    • Regional EHS teams
  • Track EHS actions, commitments, and closure status.
  • Support management review meetings by compiling relevant EHS data, trends, and documentation.

7. Continuous Improvement & System Support

  • Identify opportunities to improve:
    • EHSMS usability
    • Data visibility and dashboards
    • Communication effectiveness
  • Support implementation of new EHS tools, systems, or reporting templates.
  • Assist with internal and external audits by providing accurate documentation and data.

Qualifications & Experience

  • Diploma or degree in Occupational Health & Safety, Engineering, Business Administration, or related discipline
  • 2–5 years’ experience in an EHS, safety, or systems support role
  • Familiarity with EHS Management Systems
  • Experience managing documentation and digital platforms (e.g. SharePoint)
  • Experience working in construction, projects, or industrial environments
  • Exposure to ISO 14001, ISO45001 or similar management system frameworks
  • Experience working with dashboards, reporting tools, or data analysis
