The eCommerce Coordinator will be overseeing the go live & hypercare management of a key project for TCO: the ecommerce expansion in Singapore, Malaysia, Hong Kong & Taiwan, and the implementation of new omni channel capabilities in the region (Ship from store, Click & collect…), collaborating with cross functional regional teams across markets & Global teams. 

Post Go live, s/he will then be in charge of the returns & personalization management of eCommerce Orders. S/he will also assist on the completion of daily activities that support distribution and inventory initiatives for South Asia Pacific, such as inventory reconciliation or sold order management, to make optimum use of the Company's inventory. S/he acts as the direct liaison to all retail branches and sales organizations for sales support and communication.
 

Responsibilities

Project coordination for our Ecommerce expansion & new omni-channel capabilities implementation

  • Coordination of the project, including timely follow up of action log to respect overall project timeline, risks escalation, costs monitoring, and all reporting / communication to main stakeholders.
  • Coordination & monitoring of the UATs (User Acceptance Tests) to run prior to go live to check the proper system integration between the Ecommerce Front End, the Order Management System (OMS), the Warehouse Management System (WMS), the financial system (ERP) & our carriers, guaranteeing readiness for Go live 
  • Change management support through communication, trainings, support of users on process changes
  • Definition of the standard operating procedures (SOP) 
  • Hypercare management post go-live 

Warehouse team support: Ecommerce returns & personalization management, Inventory reconciliation + various operational follow ups

  • Ecommerce Returns management post Ecommerce Go live: coordination of all returns to the Warehouse, from liaison with Carriers for pick up, 3PL for quality check & return order generation, Client Care Center & finance for refund management
  • Ecommerce Personalization management post Ecommerce Go live: coordination of all personalization requests for Ecommerce orders, from store pick up for store generated orders, Warehouse & Repair Center flow coordination, and carriers for home delivery to Client
  • Inventory Reconciliation between systems & stock adjustment when necessary & justified.
  • Follow up on discrepancy reporting when there is shipment dispute for inbound/outbound. 
  • Packaging forecast & sourcing
  • Review and timely follow up of optimization projects and operation performance. 
  • Reports optimization
     

Planning Team support: sold order management

  • Follows up with stores on their request for sold orders when they are out of stock: identifies where to best source the orders, raises orders in the system if can be fulfilled within the zone and coordinates with global in case can only be fulfilled from other regions. 
  • Key user for Sold order process automation using AI tool developed by Global Teams
  • Supports planning activities on Fragrance (order placement based on forecasts & tester requirements, back orders management)
  • Reports optimization & process improvement

Qualifications

  • Bachelor’s degree or equivalent
  • 1-2 years’ experience in Supply Chain, sales and stock analysis in Luxury or retail industry
  • Advanced proficiency in Excel
  • Excellent written/verbal communication and diplomacy skills
  • Strong analytical skills and detail oriented

Preferred

  • Knowledge of Analytics/Reporting tools (such as Power BI, Business Objects, etc.)
