Key Areas of Responsibilities
Provide day to day administrative support to Country Head, COO & Senior Management team
Calendar and Client Meeting managing:
Coordinate zoom meeting, video or conference call as needed or anticipated.
Arrange internal / external meetings
Send invites to block all meetings
Assist overseas visitors with their Singapore meetings and provide admin support / access pass / logistic.
Travel / Expense claim management:
Perform Travel Approval application and seek approvals via email for travelers as required
Travel arrangement booking and itinerary
Claims Processing: travel / expense claims for Country Head, Head of Sales, Head of Sales Trading and Head of Algo Trading.
Obtain Pre-approval in OA, if gift or entertainment anticipated to be exceeded the T&C limits
Obtain hotel and flight quotations for roadshows
Records & document management:
Maintain: add, delete or update client details (company, title, contacts, address etc) in common excel file / shared drive / outlook contacts.
Updating data in CIS / Client360 system, as required.
Prepare and modify documents including correspondence, reports, drafts, memos and emails
Maintain electronic and hard copy filing system
Assist in organising business events, as required
Assist in resolving any administrative problems
Perform ad hoc administrative assignments
Requirements
Mature and able to prioritize work tactfully
Ability to juggle multiple projects with superb accuracy
Extremely organized, strong multi-tasking and time management skills
Exceptional client service skills, over the phone and in person, with our clients and internal departments
Strong sense of urgency and problem solving skills
Can handle sensitive information with the highest degree of integrity and confidentiality
