Purpose of the role

The Customer Documentation Management Specialist is responsible for managing and maintaining customer documentation throughout the client lifecycle, including onboarding, ongoing updates, and offboarding. This role ensures the accurate digitalization, storage, and updating of customer records while maintaining compliance with internal policies and regulatory requirements The position requires close collaboration with key stakeholders, including Relationship Managers, the Transaction Banking team, and other Operation teams. 

 

Key Responsibilities: 

  • Corporate Documentation Support: Handle corporate documentation throughout the client lifecycle, including onboarding, ongoing maintenance, mandate updates, and offboarding. 

  • Document Management & Storage: Manage and securely store customer documents received into the bank’s documents vault. 

  • Digitalization & Record Maintenance: Ensure timely digitalization and updating of existing and new customer documents in the Regional Document Management System (RDMS). 

  • Signature Verification & Management: Upload and manage specimen signatures in the Signature Verification System (SVS) for authentication purposes. 

  • Stakeholder Coordination: Liaise with other business units and customers to facilitate document-related requests and ensure smooth operations. 

  • Process Improvements & System Enhancements: Proactively participate in projects related to new controls, system enhancement, and process improvements to strengthen document management frameworks.   

  • Compliance & Risk Management: Ensure adherence to internal policies and regulatory standards related to customer document handling and storage. 

  • Additional Duties: Perform other duties as assigned by management

Job Requirements

  • Preferably at least 2 years of relevant experience in document management, banking operations, or a related field. 

  • Candidates with a degree in Banking, Finance, or related disciplines are encouraged to apply.

  • Strong attention to detail and organizational skills.  

  • Ability to work collaboratively with multiple teams and stakeholders. 

  • Strong prioritization and time management skills, with the ability to thrive in a fast-paced environment and manage multiple tasks simultaneously. 

  • Demonstrates a positive learning attitude, adaptability, and a proactive mindset towards continuous improvement and skills development. 

  • Familiarity with banking policies, compliance requirements, and risk control frameworks will be an added advantag
