Job Description:
Summary
We are looking for a detail-oriented and proactive Accounts & Administrative Executive to join our team. This role involves supporting finance and administrative functions to ensure smooth operations. The selected candidate will be required to work Monday to Friday (full day) and Saturday (half day). Additionally, the selected candidate must be willing to undergo security clearance as part of the hiring process.
Key Responsibilities
Accounts & Finance
- Update designated trackers for transcription requests, ensuring accurate word count and on-time delivery.
- Assist in transcript production and prepare month-end financial reports.
- Handle invoicing for the Supreme Court and other clients.
- Prepare and verify invoice details before submission to the Finance team.
- Submit invoices through designated platforms as required.
- Coordinate with clients regarding invoice status and payments.
- Maintain and update the error notification tracker, including tracking penalty credit notes.
- Crosscheck transcriber word counts and consolidate turn sheets for financial processing.
- Submit consolidated turnsheets and logger overtime reports to the Finance team for chargebacks and payouts.
- Take on additional responsibilities as required within the scope of the role.
Administration
- Ensure transcripts are completed and released to clients on time, including archiving files and managing document handovers.
- Track and verify due dates, ensuring clients receive accurate information.
- Handle error audits, track penalties, and ensure proper reporting.
- Compile, format, and submit monthly reports, including appendices, to relevant teams.
- Maintain digital and physical records, including request forms, collection forms, and case folders.
- Oversee employee welfare, including ordering supplies, organizing team events, and maintaining pantry cleanliness.
- Maintain staff leave records and entitlements.
Serve as a backup for the Manager when required, including:
- Assigning tasks to transcribers and updating turn sheets.
- Coordinating with loggers and handling client interactions.
- Performing second-level quality checks and finalizing transcripts.
- Managing the download/upload of audio files, case documents, and transcript delivery.
- Handling case requests, updating case diaries, and liaising with clients.
Requirements
- 1-2 years of administrative experience.
- O-Level or equivalent qualification.
- Strong interpersonal and administrative skills.
- High attention to detail and ability to work independently.
- Team player with a proactive approach to supporting colleagues.
- Due to the nature of this role and its close collaboration with the Supreme Court, only Singaporean Citizens or Singapore Permanent Residents are eligible to apply.
- The selected candidate will be required to work Monday to Friday (full day) and Saturday (half day). The half-day work on Saturday will be considered overtime and compensated accordingly.
