Job Responsibilities
Accounts & Finance

Update designated tracker as request forms come in for transcription wordcount, on‑time delivery (date and time of creation of transcripts)

Assist in transcript production & prepare month-end reports
-
Invoicing for Supreme Court (SC) & clients
Prepare & send invoicing details to Finance team to draft
Review and confirm invoice details before Finance issue the invoice to SC & clients
Submit invoices via designated platforms if required
Liaises with clients on invoice status

Update error notification tracker and track error penalty credit notes to SC or clients

Consolidate all turnsheets and crosscheck transcriber wordcount under SC and other work done by SC team;
-
Send consolidated turnsheet and loggers Overtime reports to Finance team for charge-backs and payouts.

Take on any ad hoc responsibility within the scope of this role as required
Administration
-
Ensure transcripts are produced and prepared for release to parties as per due date, including archive files, labels, collection forms, CDs
-
Handover transcripts and CD to clients; return documents/CDs given by clients (ensure collection forms are correctly signed and hand over acknowledgement forms to designated unit (CRS) once all transcripts are released to requesting parties)

Check due date mails sent to clients and ensure accuracy of information

End-to-end handling of error audits done by SC and tracking error penalty

Consolidate all appendices and prepare first draft for month-end report; format final version, convert to PDF and send for printing; Handover hard copy monthly progress reports and Appendices to CRS; mail soft copies to SC team and Epiq team

Compile request forms, collection forms and upload soft copies into server as per case folders
-
In charge of employee welfare – ordering of water, organising team get-togethers/events, staff activities, catering, maintain cleanliness of pantry area etc

Maintain staff leave entitlement and leave taken record

Act as backup for Manager
1) Update turnsheets and assign work to transcribers
2) Liaise with loggers
3) Liaise with clients (walk-ins, call-ins)
4) Merge transcripts and do second level quality checks
5) Send final transcripts to Production
6) Save final transcripts in SC server
7) Undertake transcript amendments
8) Liaising with clients for the download and upload of audio files, case documents, and / mailing of transcripts
9) Attending to case requests from ordering parties (Update Diary, due dates, case summary, case folder etc) and following up with clients for documents etc.
Requirements

1-2 years of administrative experience is preferred

O-level or equivalent
-
Strong interpersonal and administrative skills

Attention to detail and able to work on own initiative.

Works effectively as part of a team, recognises areas where support is required and offers assistance.
