We are seeking to hire a Team Assistant (1-year contract) to support the Strategy and Development Group in secretarial and administrative work. The individual should be adaptable to a dynamic work environment, proactive in undertaking diverse tasks and have a good attention to detail. Responsibilities
i) Executive Support to the Strategy and Development Group:
- Support the Strategy and Development Group members in full spectrum of secretarial/administrative/procurement and contracting matters
- Manage calendars of Strategy and Development Group Directors and be responsible for scheduling and deconflicting meetings, conference calls, video conferences both internally and externally
- Manage logistics including room bookings, agenda and document compilation, and setting up of AV for meetings
- Coordinate information & logistics for overseas trips, including arrangements for complex and detailed travel plans and itineraries – visa applications, domestic and international travel and hotel bookings, cancellations if any, billings and refunds etc.
- Tracking of corporate card expenses and out of pocket business expenses and claims for Directors
- Processing of invoices for Group transaction expenses
- Tracking of Group expenses in terms of travel and transaction fees
- General administrative duties e.g. assisting in preparation and printing of documents, organising team cohesion events, providing on-the-ground support at high-key events and external workshops e.g. at the company's flagship GenZero Climate Summit
ii) Board Support and Liaison:
- Support CEO’s Personal Assistant on Board-related matters
- Take the lead in Board-related logistics
Requirements
- Minimally 5 years of experience providing full secretarial support (past experience in Singapore Government and Temasek-related companies would be beneficial)
- Ideally at least a GCE ‘A’ level certificate or polytechnic or equivalent diploma holder
- Advanced MS Office including Word, MS Outlook, Excel, PowerPoint
- Proven team player with a proactive style, takes initiative and with the ability to work independently
- Strong interpersonal skills and able to build rapport with Strategy and Development Group members and executive assistants for other stakeholders
- Strong communication skills at all levels
- Strong written and spoken English
- Self-motivated, organised and strong attention to details
- Diligent and willing to work beyond normal office hours, where required
- Ability to think analytically
