JOB SUMMARY
Reporting to the Commercial Excellence Manager, the Commercial Excellence Executive will play a crucial role in supporting the sales teams to achieve both quantitative (volume, profitability & market shares) and qualitative KPIs (visibility, activation & consumer engagement). He / she will be responsible for maintaining accurate data reporting, coordinating administrative tasks, and ensuring accurate and efficient execution of administrative processes & work. Besides providing sales administrative support to On-Trade, Off-Trade & Wholesaler Channel in SGDM, He / she will also assist the On-Trade Sales Teams in ensuring adherence to sales cycle plans and their performance. He / she needs to be highly process driven with strong attention to details, possess strong data management and communication skills.
KEY ACCOUNTABILITIES
Take Accountability for Backend Administrative Financing Tasks to Enable Smooth Internal Processing and Compliance (15%)
- Lead the updating, processing, and tracking of financial invoices from external stakeholders, ensuring accuracy and timely validation against sales data in accordance with internal guidelines.
- Support the sales team in the management of administrative tasks, including customer creation on JDE/SFDC, occasional manual order submission by wholesalers, coordinate product requests from Warehouse and assist in paperwork for Goods Returns, Write-offs, and Wrong Orders.
- Identify opportunities to streamline backend financial processes and support system enhancements to improve efficiency and accuracy
Support the Sales Team with Day-to-Day Operation to Maintain Accurate Records of Trade Calendars and Administrative Tasks (15%)
- Support the Key Account Manager Modern Off-Trade (MOFT) in driving end‑to‑end promotional planning and execution for the MOFT channel by coordinating closely with the Sales and Trade Marketing to ensure timely follow-up on promotional submissions, approvals, and execution timelines; maintain an accurate N+3 promotional calendar; and keep track of implementation of promotional pricing across all MOFT retailers by following up with relevant stakeholders and verifying execution on-ground.
- Monitor competitor promotional pricing and activities by collecting and consolidating inputs from the trade marketing team’s merchandisers, providing actionable insights to the Sales Manager (MOFT).
Provide Administrative Support for On-Trade Channel Coordination (70%)
1. Performance Tracking
- Report progress against KPIs, including volume, distribution, activation, and visibility targets, performance by subsegment and top outlets.
- Track activation/promotion performance against target / hit list
- Conduct monthly tracking and review of performance by salesperson, consolidating data across key metrics.
2. Contract Tracking
- Track performance of top contracts, highlighting trends and variances to support strategic account management.
- Identify gaps in contracted outlet e.g. listing gaps, promo slot compliance
- Maintain updated records of outlet segmentation, contract terms, and activation schedules to support planning and compliance.
- Proactively inform salespersons of contracts expiring within the next 3 months to ensure timely renewal or renegotiation.
3. Promo Support
- Consolidate upcoming ad hoc promotional requests from the On-Trade team and ensure timely submission for internal review.
- Seek necessary approvals from the Commercial Excellence Manager for all ad hoc promotions.
- Coordinate with the Easy24 team to ensure smooth implementation and tracking of approved promotions.
- Collect and consolidate feedback from field executions, including competitor pricing, promotions, and activation tactics.
JOB REQUIREMENTS
Education & Experience
- Degree holder with formal business qualifications or equivalent
- Preferably 2-4 years’ experience in Sales Admin Executive, or in similar administrative roles
- Relevant experience in FMCG categories an advantage
- Excellent planning & project management skills, attention to detail and accuracy in data entry and record-keeping
- Strong proficiency of MS Office Suite (Excel, Word, PowerPoint)
