Support vessel technical operations through document management, stakeholder coordination, invoice tracking, and project scheduling. Maintain compliance records, assist project managers with budgeting and risk tracking, and use PM tools (Gantt charts, schedules, DMS) to keep projects on course.
Overview A leading shipowners is seeking a a Technical Project Administrator. The Project Administrator plays a key role in supporting vessel technical operation, admin and ensuring smooth coordination across stakeholders, documentation, and compliance processes.
Roles & Responsibilities
Administrative & Documentation Support
- Prepare, update, and maintain vessel documents, reports, and correspondence to ensure accurate operational and compliance records
- Organize documentation to support audits and regulatory reviews effectively
- Manage multiple administrative tasks and maintain structured records to support offshore operations
Stakeholder Communication & Coordination
- Act as a liaison between Superintendents, managers, vessel Captains, and stakeholders to ensure clear and timely communication
- Track and follow up on action items and deliverables to support project progress and stakeholder alignment
- Communicate clearly and professionally in both written and verbal formats to report project status and engage stakeholders
Financial & Project Monitoring
- Monitor project budgets by processing invoices and tracking resource allocation to maintain financial control
- Assist project managers in anticipating potential issues and proactively resolving challenges to maintain project momentum
Project Management Support
- Apply project management methodologies, including Gantt charts, risk matrices, and scheduling tools, to support project coordination
- Utilize project management software, spreadsheets, and document management systems to organize and report project data
Requirements
Required competencies and certifications:
- Diploma in any fields but any marine or engineering discipline will be advantageous
- Strong proficiency with Microsoft Office applications
- 1-3 years of experience in project administration or offshore vessel operations support or technical executive in a shipping company
- Experience coordinating with vessel Captains, Superintendents, managers, or external stakeholders
- Eligible to work in Singapore
- Hands-on experience with project coordination methods such as Gantt charts, risk matrices, or scheduling and follow-up processes is a plus.
