How you will do it:
The Document Controller will be responsible for managing, tracking, and controlling all project documentation for Data Center projects, ensuring accuracy, quality, and compliance with contractual and company requirements. This role is critical in supporting efficient project execution by maintaining proper documentation flow between internal teams, consultants, contractors, and clients.
What you will do:
- Establish, implement, and maintain the Document Control system for the project.
- Manage the receipt, distribution, and tracking of all incoming and outgoing documents, including drawings, submittals, RFIs, contracts, and correspondence.
- Ensure all documents are accurately numbered, version-controlled, and filed according to project standards.
- Monitor document workflows and approvals in line with project procedures and client requirements.
- Maintain the Master Document Register (MDR) and ensure timely updates.
- Coordinate with engineering, BIM, QA/QC, procurement, and construction teams to ensure timely submission and retrieval of documents.
- Support project reporting by providing document status updates and logs.
- Conduct quality checks on documents to ensure completeness, accuracy, and compliance with company and client standards.
- Handle confidential information with discretion and in compliance with data security protocols.
- Support the handover process by preparing final documentation sets, as-built records, and O&M manuals for client submission.
- Liaise with client representatives, consultants, and subcontractors on document management requirements.
What we look for:
- Diploma/Degree in Business Administration, Engineering, or related field (preferred).
- Minimum 3–5 years of document control experience in construction or engineering projects, preferably Data Center or MEP-intensive projects.
- Strong knowledge of document control systems and standards (ISO 9001, ISO 19650 for BIM-related documentation).
- Proficiency in EDMS platforms (, Procore,).
- Excellent skills in MS Office Suite (Excel, Word, Outlook, PowerPoint).
- Detail-oriented with strong organizational and administrative skills.
- Ability to manage large volumes of documentation with accuracy under tight deadlines.
- Strong communication and coordination skills to work with multidisciplinary teams.
Preferred Experience:
- Experience in mission-critical facilities (Data Centers, Hospitals, Pharma, etc.).
- Knowledge of engineering drawings, submittals, QA/QC documentation, and procurement workflows.
- Exposure to project handover documentation (O&M manuals, as-built drawings, asset registers).
- Familiarity with BIM-related documentation and Common Data Environments (CDEs).
