The Earth Observatory of Singapore (EOS) at Nanyang Technological University in Singapore invites applications for the position of Project Officer to support the Climate Transformation Program (CTP). The CTP is an interdisciplinary research program with the mission to develop, inspire and accelerate knowledge-based solutions and educate future leaders to establish the stable climate and environment necessary for resilient, just and sustainable SEA societies.

The incumbent will provide comprehensive administrative, financial, and operational support for research programmes and projects, with a strong focus on ensuring compliance with funding agency and University policies governing grant management and fund utilization. This includes but not limited to tracking of grant-related documentation and handling of procurement and logistics needs. The role will also contribute to various type of report preparation, project management and  research-related activities to support the successful delivery of project objectives.

Key Responsibilities:

  • Provide support for the day-to-day management of research projects, including finance, procurement, and project coordination.

  • Process procurement transactions (Purchase Requisitions, Purchase Orders, Goods Receipts), reimbursement claims, and financial documentation in accordance with University and funding agency policies.

  • Monitor project budgets and expenditures, maintain accurate financial records, and support budget tracking and reporting.

  • Coordinate project meetings, workshops, seminars, travel arrangements, and other programme activities, including logistical support for local and overseas collaborators.

  • Liaise with Principal Investigators (PIs), researchers, funding agencies, NTU Shared Services, and other internal and external stakeholders to facilitate the smooth implementation of research projects.

  • Monitor project progress, maintain project records and databases, and track key deliverables, milestones, and performance indicators.

  • Prepare and compile progress reports, financial reports, and supporting documentation for funding agencies, audits, and management reporting.

  • Ensure compliance with University policies, funding agency requirements, and governance procedures, while providing general support to research teams.

  • Perform other project-related and ad hoc administrative duties as assigned.

Job Requirements:

  • Bachelor’s degree in Project Management, Science, Finance or a related discipline, with at least 3 years of relevant working experience in project administration, finance or grant management. A strong finance background is preferred.

  • Demonstrated ability to work independently and collaboratively in a multi-cultural team environment.

  • Excellent interpersonal, planning and coordination skills

  • Excellent written and verbal communication skills, able to interact professionally with stakeholders at all levels

  • Excellent organizational, analytical and problem-solving skills with the ability to multitask and prioritize tasks in a fast-paced environment.

  • Experience in managing government-funded research grants and familiarity with Singapore’s research grant management guidelines will be an advantage.
