Job Description

Responsibilities

  • Manage contracts with Quantity Surveyors (QS), consultants, and contractors, including contract administration and vendor management.
  • Prepare, issue, and maintain contracts, purchase orders (POs), NDAs, COIs, and related project documentation.
  • Ensure procurement processes comply with client policies and governance requirements.
  • Raise purchase requisitions and process approvals through the client's procurement platform.
  • Coordinate invoice processing, payment administration, accruals, retention tracking, and monthly cost reporting.
  • Maintain project costing templates, procurement cost trackers, and financial records.
  • Act as the liaison between project managers, vendors, and stakeholders on procurement and payment matters.
  • Manage document control, contract lodgement, and filing within client document management systems.
  • Support sustainability reporting by collecting and uploading project sustainability and waste data.
  • Coordinate project logistics, fixed asset tagging, and inventory stock-taking activities when required.
  • Provide timely updates on project costs, status, and compliance-related information.

 

Qualifications

Requirements

  • Diploma or Degree in Business Administration, Procurement, Quantity Surveying, Project Management, Construction Management, or a related discipline.
  • Minimum 3-5 years of experience in procurement, contract administration, project coordination, or construction/fit-out project administration.
  • Strong knowledge of procurement processes, contract management, and financial administration.
  • Experience managing purchase orders, invoices, project costing, and vendor payments.
  • Familiarity with procurement, contract management, and document management systems.
  • Strong attention to detail with excellent organizational and document control skills.
  • Ability to manage multiple projects and deadlines in a fast-paced environment.
  • Excellent stakeholder management and communication skills.
  • Proficient in Microsoft Office applications, particularly Excel, Word, and PowerPoint.
  • Experience in construction, fit-out, workplace, or facilities management environments will be an advantage.
