Department Overview
The SI Program Management Office (PMO) supports the International System Integration (SI) Teams to execute mission-critical communications system integration contracts within the newly created International Markets region for SI.
The PMO establishes and maintains a services methodology framework and is responsible for the continuous improvement of processes and providing governance, support, and training to the SI organization.
The PMO will be a multi-site team organized into four functions – Business, Governance, Support, and Transformation. This position will be reporting to the International SI PMO Support Leader.
The Support Specialist will be part of the International SI Support function providing back-office support to the PM community, which allows efficient delivery of SI projects, resolves project issues, and helps us gather data to improve decision-making and business decisions. Other objectives include creating a standard platform for project implementation across business regions and key project functions.
Job Description

Scope of Responsibilities / Expectations

The Support Specialist responsibilities include:

  • Supporting the execution of Workflow processes covering:

    • iProcurement Purchase Order Requests including invoicing where applicable

    • Risk Release or Expenditure Approvals

    • Project Start and Close Requests

    • Customer Change Orders

    • Other workflows in development or to be determined

  • Help expedite project equipment deliveries by leveraging Freight Forwarders to assist in business revenue forecasting and meeting set targets.

  • Where applicable during Freight, Shipping and logistics of equipment, support all documentation related to Import, Export, Customs and any regulatory Authority Permits/licences/Certificates.

  • Liaise with 3rd party iProcurement vendors

  • Provide and support Customer Manual Sales Invoicing/Packing Lists/Country of Origin Certificates and Airways bills

  • Actively support Warehouse Management and Inventory Control for MSI internal or Project use.

  • Follow up Internal orders and arrange collection where necessary.

  • Provide support/training for Project Management processes and tools

  • Gather support data to help drive improvement initiatives

  • Supporting Project Managers in reports, documentation clarifications and general inquiries


Basic Requirements

Specific Knowledge / Skills

  • 3+ years of project/program management.

  • Experience in Program Management Office process/procedures.

  • Proficient in Microsoft Office (Word, Excel, PowerPoint & Project).

  • Understanding of order management processes/systems 

  • Data gathering and presentation skills

  • Understanding of local public safety customers, such as police, fire, and emergency medical services is a plus.

  • Understanding of Import/Export controls is a plus and preferably a good understanding of Incoterms

  • Strong time management, communication and organisation skills

  • Good influencing skills required as working with a global team across multiple sites
