Role Overview
The PAXUS System Expert is a senior subject matter role with platform-wide ownership and cross-functional influence across the firm’s global fund administration operations. This is not a generic system administrator position; it is a specialist role that sits at the intersection of fund operations, technology, and continuous improvement.
The successful candidate will be the definitive internal authority on PFS-PAXUS: how it should be configured, how it should be used, and how it can be evolved to better serve the business. You will lead an internal SME group, act as the primary liaison with PAXUS Support, and partner with operational and business leads to drive meaningful efficiency improvements through correct and strategic platform usage.
Key Responsibilities
1. Primary Point of Contact & PAXUS Support Liaison
- Serve as the first escalation point for all PAXUS-related queries raised by internal teams across reconciliation, fund accounting, transfer agency, and client servicing.
- Own the relationship with PFS-PAXUS Support: log, track, and drive resolution of all support tickets and escalations.
- Triage system issues and determine whether resolution requires internal configuration changes, user guidance, or vendor escalation.
2. Internal SME Group Leadership & Training
- Establish and lead a structured internal PAXUS SME group, ensuring each operational area and/or region has a nominated and trained representative.
- Design and deliver training programmes for new joiners and ongoing upskilling for existing staff, covering both core functionality and evolving best practices.
- Maintain a training library and knowledge base that keeps pace with system changes and new use cases.
3. Best Practices & Proper Usage Governance
- Define and enforce standards for how PAXUS should be used across all teams; reducing operational friction caused by workarounds, inconsistent approaches, and temporary fixes that do not address root cause.
- Conduct periodic reviews of how teams are using the platform and proactively identify areas of misuse or suboptimal usage.
- Communicate best practice guidance clearly and accessibly, ensuring adoption across diverse teams and experience levels.
4. UAT Lead for New Builds & Releases
- Lead the planning, coordination, and execution of User Acceptance Testing for all PAXUS system builds, upgrades, and new functionality releases.
- Define test scenarios based on real operational workflows, manage defect logging, and sign off on releases to production.
- Ensure post-release monitoring is in place and that any issues are captured and resolved promptly.
5. Automation Delivery
- Identify and deliver automation opportunities within PAXUS’s existing features; prioritising high-volume, repetitive tasks across NAV processing, reconciliation, investor transactions, and reporting.
- Work with operations teams to document current manual workflows and map them against available PAXUS automation capabilities.
- Track and measure efficiency gains achieved through automation, and report outcomes to leadership.
6. Business Partnership & Requirements Management
- Partner with business and operational leads as new processes are introduced, ensuring PAXUS is configured to support them from the outset rather than retrofitted after the fact.
- Challenge and re-examine existing processes: proactively identify where PAXUS can enable a more efficient or scalable approach to current workflows.
- Translate business requirements into clear system specifications and work with relevant stakeholders to implement them effectively.
7. PAXUS Enhancement Wishlist & Roadmap Management
- Maintain a structured and prioritised log of PAXUS enhancement requests sourced from across the business.
- Engage with PFS-PAXUS on the product roadmap: advocate for enhancements that address genuine operational needs and provide structured feedback on proposed changes.
- Ensure business stakeholders are informed of upcoming platform changes and prepared to leverage new functionality.
8. Complex Fund Structure Support & Setup
- Provide specialist oversight and guidance on the PAXUS configuration for complex fund structures, including multi-class, multi-series, fund-of-funds, and across different fund structures.
- Lead system configuration for new fund launches, investor onboardings, and fund conversions, ensuring accuracy and completeness from day one.
- Act as the final review authority on fund setups where structural complexity creates elevated risk of misconfiguration.
9. System Connectivity & Integration
- Work with owners of other internal and external systems (custodians, brokers, investor portals, reporting tools) to establish data flows and integrations that allow PAXUS to communicate effectively with the broader technology ecosystem.
- Define and document integration requirements, data mapping, and interface specifications in collaboration with IT and technology partners.
- Ensure that connectivity initiatives are tested thoroughly and that ongoing data integrity across connected systems is monitored.
10. Operational Solution Design & Workflow Development
- Work on the design of operational solutions and end-to-end workflows within PAXUS for new and evolving business requirements.
- Ensure that system-led processes are designed with scalability, controls, and auditability in mind.
- Challenge legacy workflows that have grown organically and may not reflect current best practice or available system capabilities.
11. Policy, Documentation & Continuous Improvement
- Contribute to the development and maintenance of PAXUS-related policies, procedures, and operational documentation.
- Support firm-wide continuous improvement initiatives by surfacing PAXUS-related inefficiencies and proposing structured solutions.
- Participate in internal governance forums and contribute to audit, compliance, and risk management activities as they relate to the platform.
Qualifications & Experience
Required
- Minimum 5–7 years of hands-on experience with PFS-PAXUS within a fund administration environment.
- Deep operational knowledge of fund accounting and/or transfer agency functions; you must understand the business, not just the system.
- Demonstrated experience supporting complex fund structures
- Proven ability to lead cross-functional initiatives and influence stakeholders without direct authority.
- Familiarity with FATCA/CRS data requirements and how they manifest in PAXUS workflows.
- Strong analytical and problem-solving skills with a structured, methodical approach to issue resolution.
Preferred
- Experience leading or coordinating UAT for system upgrades or new platform releases.
- Exposure to PAXUS system configuration, module setup, or administration.
- Experience delivering internal training programmes or developing operational documentation.
- Familiarity with system integration concepts and data mapping between fund administration platforms.
- A degree in Accounting, Finance, Information Systems, or a related discipline is advantageous but not required.
