Job Description

About The Role:
Provide efficient administrative and clerical support to the Operations team. Accurately document incoming requests from customers and ensure timely passing to the appropriate executive for processing. Assist the business by undertaking ad hoc clerical and administrative tasks as required by Operations and/or Finance. 

Key Responsibilities:

  • Update and maintain Approved Supplier List to include evaluation for new supplier, signed NDA and bank details provided to Finance for creation of supplier code in Yardi system. 
  • Update and maintain SLA Register 
  • Update and maintain Customer Interface documents 
  • Update and maintain Emergency Escalation and contact List 
  • Upload monthly electrical bills to Share point 
  • Cover reception duties during absence 
  • Compile monthly Purchase Order summary for Finance 
  • Collate data inputs for Customer Monthly Reports 
  • Administer Permits to Work (PTW) from customers and their vendors, assigning PTW numbering before submission to Facilities Manager, copying and filing. 
  • Filing of Reports, invoices, and delivery orders. 
  • Verify FSM monthly overtime claims 
  • Attend Bi-weekly meeting and comply minutes 

About You:

You are a confident communicator with fluent written and spoken English, capable of engaging effectively across teams and stakeholders. You bring a calm, composed approach to your work, even under pressure, and are known for being a reliable team player who’s always willing to lend a hand. With a well-organised mindset and a proactive attitude, you manage your tasks efficiently and contribute positively to team dynamics. You have a solid working knowledge of Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook, and are comfortable using them to support day-to-day operations.

Key Requirements:

  • Successful examination to at least “O” Level or equivalent. 
  • Experience in a busy office environment. 
  • Experience in an administrative role where accuracy and timely work delivery are important.
