Occupancy Planner

ROLE AND RESPONSIBILITIES

OVERALL ROLE

This position will be required to work closely with either the Design and Construction Manager, Assistant Manager or the client (or both) and play a pivotal role in driving project success. While you will be taking ownership of managing the masters of space chargeback, reporting and occupancy movement within the client premises with high accuracy, include South East Asia regions, you will also be assisting the Design and Construction Manager and working with Assistant Manager to manage churn move requests from the client business groups, and small projects from space planning to execution process and ensure deliverables within the timeline. The role will be required to engage & interface not only with Real Estate and Services (“RES”), but also with business groups, facilities management team and external parties to assure the CAFM master data is updated in a dynamic environment & churns deliverables with excellent standard and achieve clients’ satisfaction.

Located in Singapore, the Design and Construction Project & CAFM Executive will be working along with the Design and Construction Manager and Assistant Manager on Singapore portfolio and other South-East Asia regions via client CAFM system.

MAJOR RESPONSIBILITIES

Space, Project & Move Management

  • Working closely with Design & Construction Manager and Assistant Manager and client to ensure high accuracy of CAFM update for reporting to relevant stakeholders.

  • Ensure monthly space chargeback reporting is updated in accordance with business groups’ feedback and sign off before the cut-off timeline.

  • Active liaison with regional CAFM team to ensure CAFM information for South-East Asia regions is constantly updated and involved in discussion to resolve and CAFM matters.

  • Co-Lead with Assistant Manager on churn moves & small projects in accordance with business requirement and target timeline with ability to manage external contractors, vendors, and onsite facilities management team

  • Ensuring that proposals for small project is aligned with the client design guideline & in compliance to local health and safety standard / policy.

  • Creation of ADT / CAD drawings for projects of Space planning and ensuring the compliance of local codes of authority and update into client CAFM system

  • Co-lead with Design and Construction Manager and Assistant Manager and coordinate with relevant stakeholders and vendors on cost and timeline for all move requests

  • Explore and Introduce technology and digital platforms to improve Project management and CAFM space chargeback reporting

  • Ensure data integrity of all systems across the Region and perform audits from time to time

  • Actively work closely with the Finance, Engineering and Hospitality teams to ensure that all site financial operations are meeting or exceeding targets, financial processes as well as controls are always adhered to.

  • Generate reports and conduct presentations as per the service delivery requirements and overall account management.

Client/Stakeholder Management (in direct support to Singapore Site Lead)

  • Pro-actively develop and manage Client relationships ensuring that expected service levels are achieved

  • Comply with all requirements of the Client contract and meet or exceed Key Performance Indicators

  • Deliver an exceptional quality of service to the Client, as reflected by Client feedback

Staff Management

  • Actively encourage an environment that support teamwork, co-operation, performance excellence and personal success

CANDIDATE SPECIFICATION:  KEY SELECTION CRITERIA

Ideal Experience

  • Excellent verbal and written communication skills as well as presentation skills

  • Able to adapt in a fast-paced working environment and versatile in meeting client requirement

  • Strong analytical, organization and administration skills

  • A minimum of 4-6 years in the space occupancy strategy-planning & project management / construction fit-out industry

  • An added benefit would be a relevant certification in space occupancy management, project management, building, business, or other related field; however, this is not a must.

  • Proficiency in AutoCAD system and Archibus system will be advantage

  • Able to commit supervision ad-hoc works during weekends and public holidays

  • Experience in Asia Pacific is desired, specifically Singapore or Hong Kong
