Job Overview:

As a Data Center Document Management Manager, you will play a crucial role in the meticulous organization and management of various documents set-up, policies and process critical to project(s) and program success. Your responsibilities will include setting up tools and systems, developing policies, setting up training and providing guidance for the successful implementation of document management for project(s) and program delivery, covering the requirement of document management from each phase of the project(s) / program.  Additionally, you will collaborate closely with different teams to facilitate efficient information sharing and support project coordination.

A Document Management Manager, maintains, and controls an organization's documents (physical & digital) throughout their lifecycle, ensuring they're accurate, accessible, secure, and compliant with regulations, involving tasks like developing procedures, managing DMS software, training staff, auditing, and handling retrieval and archiving. You will need strong organizational, communication, and tech skills, plus attention to detail and confidentiality. 

Key Responsibilities:

  • System Management: Develop, implement, and maintain document control systems, policies, and procedures for efficiency and compliance.
  • Lifecycle Management: Setup system and policies which will oversee documents from creation, review, approval, storage, retrieval, to eventual disposal/archiving.
  • Organization: Set-up and improvise standard which will allow categorize, index, and maintain physical and electronic files using Document Management Systems (DMS).
  • Compliance & Security: Ensure adherence to regulatory standards, maintaining confidentiality and data security.
  • Support & Training: Assist teams with document needs, provide guidance, and train employees on best practices.
  • Auditing: Conduct regular audits for quality, accuracy, and availability, recommending improvements.
  • Retrieval: Fulfill requests for document retrieval efficiently. 

Qualifications:

  • A bachelor's degree or higher in Information Management, Archives, Computer Science, Information Technology, or related fields.
  • At least 3 years of hands-on experience in document management, preferably in data centers or large-scale IT projects.
  • Proficiency in popular document management tools like SharePoint and Documentum, along with a strong command of the Microsoft Office suite.
  • Exceptional attention to detail and organizational skills to ensure precise document management.
  • Proficiency in Mandarin would be advantageous
