We are seeking a Legal Operations Specialist to enhance legal processes, boost efficiency, and support technology adoption. In this role, you will manage law firm billing and collaborate with our contracting team to implement our strategy. Reporting to the Head of Global CLO Operations and Innovation, you’ll be part of an innovative team dedicated to improving the CLO team's operational effectiveness and support Ferring’s growth agenda. You will work with a diverse, global team, providing you with the opportunity to engage with colleagues from around the world. Your day at Ferring

  • eBilling System Management: Administrator for the eBilling system and processes, including onboarding new law firms & service providers, matter management, assisting the users, handling billing issues, managing timekeepers & rates, and providing support for the monthly and annual accrual process.

  • Contract Management System: Administrator for the Icertis Contract Management System, including onboarding and assisting users, administering training, and collaborating with the contract management team to implement system enhancements, such as adding / editing templates, rules, and processes for a better user experience.

  • Purchase Order Management: Manage PO lifecycle for CLO team as needed, including creation, requisitioning, and closing, as well as providing support for these during the accrual process.

  • Best Practices and Compliance: Help drive contracting and eBilling best practices, including but not limited to monitoring and managing vendor compliance with our billing policies, supporting auditing activities of both systems, and being an active member of the relevant market networks to perform benchmarking across the industry for relevant services, trends, and innovation.

  • Continuous Improvement: Apply a Continuous Improvement mindset to identify opportunities to innovate and simplify processes.

  • Strategic Roadmap: Partner with the Sr Legal Ops Specialist and key vendors to identify potential improvements to the systems and process, as well as to maintain a strategic system and contracting processes roadmap that addresses the stakeholders’ needs and drives innovation and adaption over time.

  • Data Analysis and Reporting: Embrace a love for data that helps us understand our systems and provides data driven insights into areas of opportunity.

  • Global Legal Operations Projects: Participates in Global Legal Operations projects and supports the Global Head of CLO Operations and Innovation in helping drive the CLO Services Model to provide optimal business partnership to Ferring.

  • Liaison and Improvement Identification: Act as a Legal Operations liaison for the entire CLO department, assisting where needed and identifying opportunities for improvement or collaboration across the team.

Behind our innovation…There’s you

  • 2+ years of Legal Operations or related professional operations experience in a corporate support department or law firm; experience with Contract Management Systems and / or eBilling systems are a plus

  • Bachelor’s degree or equivalent experience required

  • Strong analytical and excellent organizational skills, with a curiosity mindset – you should love solving problems!

  • Good interpersonal skills, customer service orientation and demonstrated ability to establish effective working relationships; works well in team environment

  • Strong verbal & written comm skills, esp in English

  • Proficiency in Word, Excel, & SharePoint

  • Highest integrity and demonstrated ability to handle confidential information

  • Results and detail orientation
