Job Summary
The HR Operations Administrator/Executive is responsible for providing comprehensive administrative support across the full spectrum of human resources activities. This role ensures the smooth execution of HR operations, including payroll, personnel administration, recruitment coordination, leave and benefits administration, training records management, employee welfare support, and HR reporting. The HR Administrator also serves as a key point of contact for employee enquiries and helps ensure accuracy, compliance, and efficiency in HR processes.
Key Responsibilities
- Manage payroll for all entities across Asia (SGD/IDR/CNY/MYR/INR/AUD/JPY/HKD)
- Handle all aspects of personnel administration, including maintaining employee records, updating the employee database, and managing leave administration.
- Support end-to-end recruitment activities, including posting job advertisements, coordinating interviews, onboarding new hires, and assisting with related hiring matters.
- Manage staff leave records in HR system and submit claims through the relevant government portal.
- Process employee benefit claims and related filings, and respond to employee enquiries in a timely and professional manner.
- Maintain and update staff training records to ensure proper documentation and compliance.
- Coordinate employee welfare arrangements, including gifts and other staff welfare initiatives.
- Prepare quarterly and ad hoc HR reports as requested.
- Ensure HR records and documentation are maintained accurately and confidentially.
- Support the implementation and continuous improvement of HR administrative processes and internal controls.
- Assist with other HR and administrative duties as assigned.
Qualifications and Experience
- Diploma or degree in Human Resources, Business Administration, or a related discipline.
- Minimum 2–5 years of relevant HR administrative or HR operations experience.
- Familiarity with HR processes, employment documentation, leave administration, and employee benefits administration.
- Experience supporting recruitment and onboarding activities preferred.
- Prior experience with HR systems or databases is an advantage.
Skills and Competencies
- Good understanding of Singapore ; knowledge of payroll practices in other locations across Asia is a plus, as is familiarity with HR administrative processes and record-keeping requirements.
- Strong organisational skills with excellent attention to detail and accuracy.
- Ability to handle confidential and sensitive information with discretion.
- Good interpersonal and communication skills, with the ability to respond to employee enquiries professionally.
- Proficient in Microsoft Office applications, especially Excel, Word, and Outlook.
- Able to work independently, manage multiple tasks, and meet deadlines in a fast-paced environment.
- A proactive, reliable, and service-oriented approach to work.
- Ability to work in a high-pressure trading environment.
- Have a strong sense of accountability and ownership of key deliverables
- Be comfortable undertaking new concepts and ideas associated with a fast-paced, dynamic business
