The Fleet Coordinator is responsible for the efficient and cost-effective management of the company's vehicle fleet across Belgium and the Netherlands. This role ensures compliance with all relevant regulations, optimizes fleet utilization, and minimizes downtime. The Fleet Coordinator serves as the escalation point of contact for Employees in the designated region. Fluency in French, Dutch, and English is essential for effective communication and collaboration. The Fleet Coordinator Advisor is responsible for the end-to-end service delivery processes related with the management for the fleet. The incumbent works with People Managers and Employees, driving self-service and optimizing the employee experience across the fleet processes
How you will contribute
'Fleet Management and operational tasks• Inform eligible employees and referring them to the appropriate contacts or service providers.• Initiate, manage and coordinate vehicle renewals• Manage new beneficiaries and assign cars in line with business priorities• Manage return of vehicles due to leavers, suspensions and demotions• Manage pool fleet maintenance, repairs and prep for re-deploying vehicles• Manage constant updates of the state of the fleet in all files, apps, inform necessary stakeholders of changes in a timely way• Remind employees of the rules regarding the use of the fuel card/charge cards and report any irregularities• Remind employees of the rules regarding damages, accidents and repairs and report according to the policies• Monitor compliance with procedures and report irregularities• Assure compliant records management for contracts and other fleet documents• Mediation, escalation and follow up in sensitive, difficult or complex cases (internal customers, stakeholders and suppliers)• Other seasonal and ad hoc tasks: local pool car management, support car selection in case of medical requirements, proof of insurance NL.
Supplier management• SPOC for fleet related suppliers (lease company, pool car services, mobility services, public transport providers, car dealerships and importers)• Monitoring the quality of service and taking corrective measures if necessary• Monitor compliance with Mondelez procedures• Third party provider relationship management: lead business reviews• Collaborate in negotiating services and pricing, develop cooperation and procedures with internal and external stakeholders, meet potential suppliers, support onboarding of suppliers
Invoicing process and finance support• Determine the necessary purchase baskets (PR) at the beginning of the year together with EU fleet manager based on budget and policy• Receive, check and approve invoices on a monthly basis in the appropriate system and following appropriate procedure (GR)• Prepare the monthly invoicing file for Finance based on the suppliers invoice files• Ensure that invoicing disputes are processed by MBS AP to limit overduesand disputes with suppliers• Inform payroll of necessary deductions and contributions to be withheld from employees based on policies• Inform payroll of necessary payments towards employees based on policies• Manage objection to non compliant invoices and/or invoices for services and products that were not approved and/or in line with policy• Provide information/confirmation for monthly lease accounting balance sheet• Provide information for finance, social security and other audits
Fine and bailiff• Management of fines• Handling disputes (bailiff notifications, relations with the courts or the Treasury, administrative objections, disputes with drivers)
Bike fleet• Inform employees of policy and salary impact• Manage Bike lease employment contract addendum creation and signatures• Confirm bike order in order procedure after signature• Management of the bicycle fleet overview and reporting• Request calculations at early termination of the contract, discuss options with employee and inform payroll of result• Calculate and report exact deduction from 13th month and inform finance and payroll
Public transport management• Management of rail season tickets, requests, cancellations• Inform employees of options
Mobility management for perk car drivers• Inform eligible employees on site or remotely, answer their questions and/or refer them to the appropriate contacts or service providers• Manage new beneficiaries and assign budgets in line with policy• Manage Federal Mobility Budget employment contract addendum creation and signatures• Initiate, manage and coordinate access to mobility budget via supplier tools• Manage reduction or revoke access in case of leavers, suspensions and demotions

Job specific requirements:
- Languages: French, Dutch and English are a must.

- Fleet Management Expertise (desirable):
- Deep understanding of fleet management principles and practices.
