While many roles at Coinbase are remote-first, we are not remote-only. In-person participation is required throughout the year. Team and company-wide offsites are held multiple times annually to foster collaboration, connection, and alignment. Attendance is expected and fully supported.
The Travel, Meetings & Events team oversees the company’s travel program and expense operations. As an Expense Analyst, you will support the daily operations of expense management and corporate card programs, acting as the primary administrator for expense systems. This role is ideal for a detail-oriented, policy-minded professional who can work cross-functionally to support employees and serve as a subject matter expert on expense compliance.
Key ResponsibilitiesExpense Compliance & Operations
- Policy Enforcement: Apply a strong understanding of expense compliance rules to review complex or flagged reports. You will determine the validity of expenses based on company policy and business context.
- Audit Partnership: Partner with our Business Process Outsourcing (BPO) team to ensure daily expense reports are processed accurately.
- Quality Control: Perform spot-checks on audited reports to verify consistent application of the T&E policy, providing feedback to the BPO team on specific cases.
- Escalations: Act as the internal point of contact for disputed expenses, providing clear, policy-backed explanations to employees when reimbursements are rejected or adjusted.
Corporate Card & Systems Administration
- Card Administration: Handle day-to-day administrative tasks for the corporate credit card program (Brex), including issuing new cards, adjusting credit limits, and offboarding terminated users.
- Brex System Admin: Serve as the primary system administrator for Brex, managing user settings, workflows, and troubleshooting technical issues.
- Month-End Support: Perform month-end reconciliation for corporate cards and expenses
Data & Training
- Employee Support: Provide guidance and training to employees on expense systems and procedures, managing our support queue for all expense-related inquiries.
- Data Analysis: Utilize Google Sheets to track spending data, helping the team identify trends, policy violations, or potential cost-saving opportunities.
- Experience: 2–4 years of dedicated expense management experience is required.
- Compliance Knowledge: Strong understanding of T&E policy, expense compliance rules, and documentation requirements is essential.
- Systems Proficiency:
- Expense Tools: Experience with modern expense platforms is required; Brex is highly preferred, but experience with similar tools (e.g., Ramp, Navan) will be considered.
- Procurement: Experience with ZIP is highly preferred.
- Excel/Sheets: Advanced proficiency in Google Sheets is required (must be comfortable with PivotTables, VLOOKUPs, XLOOKUPs, and managing large datasets).
- Travel: Familiarity with travel management concepts and booking platforms (Navan specifically) is a plus.
- ERP: Experience with ERP systems (e.g., NetSuite) is a plus
- Education: Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
- Proactive Problem Solver: You don't wait for issues to become escalations. You identify potential friction points and process gaps in advance, fixing them to reduce noise and confusion for the team.
- Policy-Minded: You understand the "why" behind the rules (tax implications, fraud prevention) and can explain them clearly to others.
- Communication: Able to be firm when enforcing policy while maintaining a helpful, "customer-service" attitude with employees.
- Autonomy: Strong sense of ownership and the ability to manage daily tasks independently in a remote environment.
