Job Description
We are looking to hire a top performing Executive Assistant / Sales Assistant to support dealing room Sales and Traders. Here you will have the opportunity to work in a high-paced, organization. This role offers daily interaction with executive level internal clients across various lines of businesses, providing a platform for professional growth and skill enhancement. As an Executive Assistant/Sales Assistant in our dealing room, you will be responsible for performing an array of administrative functions requiring confidentiality, initiative, and sound decision making. This includes managing complex and detailed calendars, coordinating travel arrangements, processing invoices, and handling telephone coverage professionally. You will also support Sales and Traders with ad hoc assignments such as market data gathering and analysis, events planning, and other necessary follow-ups during a transaction process.
Job responsibilities

  • Manage and handle complex and detailed calendars, dealing with multiples and or urgent meeting conflicts, setting up of meetings and conference calls, internally and externally, as well as handle all associated logistical aspects.
  • Work in a fast paced, ever changing environment and to effectively handle multiple priorities with a calm, professional and willing attitude.
  • Handle telephone coverage with ability to answer phones professionally, address issues or redirect as appropriate, and distribute messages in a timely and appropriate manner.
  • Coordinate travel arrangements (including air, hotel accommodations and ground transportation); prepare detailed itineraries, required travel visas/documents, and assure accuracy and timely delivery of plans/tickets to travelers.
  • Process invoices and travel & expense claims for team members timely. Ensure all policies are followed and items are processed within provided guidelines. Act as a subject matter expert for policies and procedures.
  • Assist on ad-hoc requests from Sales or Traders, and handle queries in a timely manner, work as partnership while consistently keeping an independent mindset.


Required qualifications, capabilities, and skills

  • Fluent in verbal and written English and Chinese

  • Displays strong self-organization and multi-tasking capacity
  • Strong inter-personal and partnership skills, i.e. develop relationships with peers, clients etc.

  • Tactful and good judgment in confidential situations and proven experience interacting with senior management
  • Ability to adapt procedures, processes, and techniques to the completion of assignments
  • Excellent telephone etiquette and experience in calendar management


Preferred qualifications, capabilities, and skills:

  • The Securities Specialist License or the Senior Securities Specialist License
  • Market/Derivatives Knowledge
  • Good IT knowledge (Excel, VBA, data analysis/query)
