Executive Assistant - APAC
This is an excellent opportunity for someone who has experience supporting senior leaders and loves keeping fast‑moving teams organised. You’ll enjoy working across time zones, staying calm under pressure, and bringing structure to busy days. It’s ideal if you like variety, care about detail, and want to make a genuine impact across our APAC business.
A bit about the job:
The position holder will be the steady hand that keeps our APAC Executive Office running smoothly, supporting our CEO, Head of Asia Pacific and the wider team so they can focus on the work that matters. You will organise busy calendars, regional and international travel, governance tasks and confidential records, bringing clarity and calm to busy days across multiple time zones. You will also take the lead on the rhythm of the office - looking after leases, supplies, access cards, vendor relationships, meeting‑room bookings, document‑management systems and the secure disposal of records - so everything works just as it should. Alongside this, you’ll support our finance, compliance and HR workflows, from expenses and travel approvals to onboarding, interviews, insurance renewals and team events that help colleagues feel welcome. And because this is a role at the heart of a small, connected APAC team, your work will help people across the region stay organised and supported every day.
Skills and experience we’re looking for:
An experienced Executive Assistant and Office Manager, with the ability to maintain a high degree of discretion and confidentiality when handling sensitive information.
Ability to work confidently in a small team (c.15 people), supporting multiple functions and managing shifting priorities - including coordinating meetings across time zones.
Previous experience in an asset‑management firm would be highly advantageous, ideally a small/regional office linked to a larger HQ.
A professional, composed approach when supporting the CEO and senior leadership team, acting as the first point of contact in the office.
Excellent communication and interpersonal skills, with the ability to build strong working relationships.
What you’ll get for this role:
Eligibility for annual performance bonus
Generous holiday entitlement plus bank holidays with the option to buy/sell up to 5 additional days
Aviva Matching Share Plan and Save As You Earn scheme
21 volunteering hours per year
