Job Description

Purpose of the role

To manage the executive's schedule, handling correspondence, preparing presentations and reports, and providing other administrative support as needed. 

Accountabilities

  • Management of senior executive members calendars and overseeing their timely responses to meeting invitations and requests.
  • Planning and arranging travel itineraries, including flights, accommodation, and ground transportation, ensuring timely and efficient travel for the executive.
  • Proactively anticipating the needs of the senior executive, prioritising tasks, and ensuring timely completion.
  • Management of day-to-day administrative tasks, such as expenses, maintaining filing systems, and ordering office supplies, annual leave records management, distribution list management and organisation management tasks.
  • Management and facilitation of senior executive members meetings.

Step into the role of Executive Assistant – Analyst at Barclays Internal Audit Team in Singapore where you will manage the senior leaders’ schedule, handling correspondence, supporting the preparation of meeting materials, presentations and reports, and providing other administrative support as needed. This role is pivotal in ensuring their day-to-day operations run smoothly and efficiently. Key responsibilities include managing complex calendars across time zones, coordinating domestic and international travels, arranging high-level meetings, and handling expense reporting.  You should be highly organized, discreet, and capable of juggling multiple priorities in a fast-paced environment with a prior experience in a similar role from a highly matrixed origination.

To be successful in the role , you should have the following:

Essential skills :

  • Minimum 3 years of EA experience, ideally in financial services or investment banking.
  • Proficiency in Microsoft Office Suite like Outlook, Excel, PowerPoint, TEAMS.
  • Excellent communication and interpersonal skills with ability to handle confidential information with discretion.
  • Strong organizational and time management abilities.
  • Comfortable working in a fast-paced, deadline-driven environment.
