OMERS Capital Markets is hiring an Executive Assistant located in our Singapore office to support our Capital Markets team. The team invests in both developed and developing markets of Asia and across the entire capital structure, looking at direct public and private markets as well as partnerships with third party fund managers. The EA would be an integral part of this team, whilst also working with related business functions, supporting a 12-14 member team in total.
The applicant would be a resourceful self-starter who can work independently with high-level supervision and direction. Your positive attitude and superior organizational and problem-solving skills will contribute to the exciting, dynamic environment we have created. You will be required to exercise good judgment, strong coordination skills and show initiative to support multiple, complex activities on behalf of the team. Occasionally, this position may be required to work outside of business hours to meet the needs of a global business. As a member of this team, you will be responsible for:
Providing a full range of secretarial and administrative services, ensuring quality service and professionalism at every interaction
Managing, coordinating, and maintaining calendars with conflicting priorities, which often include multiple time zones
Managing meetings which includes scheduling and preparing agendas with C-suite leaders internally and externally
Coordinating multiple and complex domestic and international travel arrangements, hotels, and itineraries, as well as preparing travel and expense reports
Building strong relationships across the organization, including partnering with internal and external stakeholders, as well as collaborating with the other Executive Assistants in the Singapore office and other global offices of OMERS
Administration of confidential files and presentations
Processing all invoices received for payment and complete expense reimbursement requests
Be an effective teammate and flexible in adjusting to changing work priorities
Performing additional administrative duties and/or special projects as assigned
To succeed in this role, you have / are able to:
Minimum 8 years’ experience in a similar role supporting senior leaders and team in a large, complex, international organization. Existing connects within the asset management and banking/ corporate C-suite offices in the region would be a plus
A post-secondary education
Computer literacy, MS Office Suite experience
Strong interpersonal, verbal, and written communication skills
Work well under pressure; meet tight deadlines; and maintain a sharp attention to detail, while maintaining maturity and professionalism
Demonstrate strength in time management and organizational skills with the ability to manage multiple tasks in a fast paced environment
Demonstrate the ability to prioritize, work independently with minimal direction and proficiency in dealing with ambiguity
Exercise high levels of discretion, tact and judgment while dealing with sensitive and confidential materials and matters
Have flexibility to work extra hours on occasion, if necessary
