Institutional Banking and Markets (IB&M) is responsible for managing the Group’s relationships with major corporate and government clients and institutional investors, and provides a full range of capital raising, transactional and risk management products and services. The division also performs an important internal role for the Group by providing equities, markets, lending and transaction banking execution capabilities to other CBA business units that allows them to capture opportunities with business customers.

The International business within IB&M covers all of the branches and operations outside of Australia. The International business unit is responsible for growing the international business in line with the IB&M strategy working with the other business units within IB&M to provide unique insights to our clients and market leading capabilities.
More specifically, you will:
Primarily provide the Managing Director, Head of International within Global Markets with pro-active administration and business assistance/support. You will have had experience working in cross geographies office / business coordination, branch manager support and will know how to get things done. You have a natural ability to assess work and prioritize what needs to be done by when and take the initiative to address where able. You should be someone who can work autonomously and be a proactive team member.
By providing this support, the Executive Assistant will play a key role in maximizing the effectiveness and efficiency of the team. To perform these duties with a smile and happy disposition will ensure great success in this role.
Core Responsibilities
- Telephone management and client liaison both internal & external, representing Managing Director and team
- Provide proactive, effective and efficient administrative support (for MD)
- Meeting management: arrange meetings, produce and distribute agenda, action items and associated papers as required and to the timeframes required. Attend meetings, taking minutes and action items, including monthly portfolio governance meetings
- Maintain accurate financial processing of invoices. Completion and submission of monthly expense and invoice requests for manager (and team) as required. Ensure Group policies are adhered to.
- Information technology. Provide assistance and support in managing I.T. support requests and related I.T. purchases.
- Inbox management. Monitor inbox, prioritise emails, and assist in the preparation of responses.
- Establish and maintain strong, effective, strategic and appropriate working relationships within business partners, EAs and other stakeholders.
- Document management. Collation of pre-reading materials (presentations, meeting papers etc.), assist in the review of papers to ensure any items manager is accountable for are prioritised and actioned in a timely manner.
- Diary management: proactive, efficient time & diary management and maintenance of e-files
- Co-ordinate/arrange travel, client roadshows, appointments, conferences & functions including catering, venue arrangements and other logistics. Ensure Group policies are adhered to.
- Apply the Group’s policies and processes to effectively coordinate such issues as occupational health and safety, on-boarding of new staff and all procurement requirements.
- Undertake tasks as directed by manager, including onboarding of new employees

We want to hear from you if you have:
- Extensive EA experience at a senior level, supporting Executives within the Banking & Finance industry or similar environment
- The ability to manage workflow, prioritize, work well under pressure and be flexible
- High level of professionalism – face to face, over the phone and through correspondence
- Demonstrated experience in working in a cross geography team environment & branch manager office
- Solid computer literacy skills, including Outlook, Word, Excel and PowerPoint, etc.
- Confident interpersonal and communication skills
- Efficiently bilingual in Mandarin & English
