We invite suitable applications for the position of Centre Manager and Personal Assistant to the Chief Learning and Innovations Officer (CLIO) in the Director’s Office.

Responsibilities

1. Administrative Support

  • Strategic Planning: Assist in collecting, analysing, and evaluating data from the units under CLIO to support the CLIO in strategic planning and decision-making processes.
  • Policy and Procedure Development: Collaborate with CLIO to review, develop, and establish internal procedures, guidelines and policies, especially for the new Education Solutions and Engagement (ESE) Centre. Assist in drafting reports and papers as needed.
  • Email Management: Oversee CLIO’s role-based email accounts, responding to queries promptly and ensuring communications are managed efficiently.
  • Event Planning Support: Support the planning, coordination, and execution of events and welfare programmes for the units under CLIO, ensuring all activities are well-organised.
  • General Administration: Perform administrative and logistical tasks assigned by CLIO and pertaining to NIE’s Artificial Intelligence in Education (AIED) initiative to ensure smooth day-to-day operations of the office.

2. Budget & Financial Process Support

  • Budget Management: Manage CLIO’s budget and budget pertaining to NIE’s AIED initiative, including procurement, inventory and purchasing of office supplies. Ensure that all expenditures align with approved budgets.
  • Expenditure Tracking: Regularly track and report on expenditures, ensuring they adhere to financial guidelines. Provide budgetary information to support decision-making and planning.

3. Personal Assistance to CLIO

  • Schedule Management: Manage CLIO’s calendar, schedule meetings and make travel arrangements. Ensure all appointments and deadlines are efficiently handled.
  • Administrative Support: Handle CLIO’s claims and training requests. Maintain confidential records and documents with utmost discretion.

Leadership Team Coordination: Work closely with other PAs and administrative staff to provide seamless support across the NIE Senior Leadership team

4. Secretariat Support

  • Committee Assistance: Provide secretariat support for committees chaired by CLIO. Assist in preparing status reports, presentations, and other documentation related to committee activities and those pertaining to NIE AIED initiatives.
  • Meeting Coordination: Ensure meetings are conducted smoothly by handling logistics, preparing agendas, and documenting key decisions. Monitor and follow up on action items arising from meetings.

Requirements

  • A University degree.
  • At least 2 to 3 years’ relevant working experience; working experience in an educational institution is preferred.
  • Excellent conceptualising, analytical and writing skills.
  • Strong organisational, administrative and communication capabilities
  • Responsive, meticulous, independent, resourceful, responsible and a good team player
  • Proficient in Microsoft Office applications, use of Co-pilot and other AI tools to facilitate administrative work would be an advantage.
  • Adaptable to change, able to work under pressure and to meet tight timelines.
  • Interest in self-development, willingness to learn, and acquire and share new knowledge.
