Position Overview
As an Administrative Assistant at Multiplier, you will play a crucial role in ensuring the smooth operation of the executive office. You will support the CEO and co-founders by managing their schedules, coordinating logistics, and handling a variety of administrative tasks. The ideal candidate will be detail-oriented, efficient, and capable of managing multiple priorities in a fast-paced environment.
Key Responsibilities
Executive Support:
- Manage Founders' Calendars: Oversee and coordinate the daily schedules of the founders, ensuring all appointments are timely and efficiently arranged.
- Organize comprehensive travel itineraries for the founders, including booking flights, accommodations, and transportation.
- Provide logistical support for travel related to marketing initiatives and events, ensuring seamless coordination and execution
- Assist internal stakeholders in planning and executing events in Singapore, including conferences, summits, and other significant gatherings. Ensure all logistical and organizational aspects are managed to a high standard.
Office Management:
- Serve as the key point of contact for main office vendors, such as maintenance, mailing, supplies, and equipment repair.
- Monitor office machines and systems, problem-solving issues as needed (including postage meter, copiers, and conference room scheduling).
- Monitor and maintain inventory of necessary office supplies, order supplies as needed to keep basic supplies stocked, and fulfill special employee requests.
- Review the Travel and Expense Invoices for Non-India Travellers
Qualifications:
- Proven experience as an Administrative Assistant or in a similar administrative role.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in office software (e.g., MS Office Suite).
- Ability to multitask and prioritize tasks effectively.
- High level of discretion and confidentiality.
- Strong problem-solving skills and attention to detail.
