UCT is looking for a talented Admin Assistant to join us in Singapore!

Job Summary

The Admin Assistant provides comprehensive administrative support to the HR and Production teams, ensuring smooth daily operations for a high-volume DL workforce. This role supports DL timesheet review and approvals, mandatory safety and operations training administration, and assists new joiners in transitioning smoothly into UCT and becoming familiar with HR or operations systems. The Admin Assistant also coordinates and supports HRBP on skip-level and engagement meetings, and handles HR-related administrative tasks to relieve workload from HR team. This position plays a critical role in maintaining operational discipline, employee experience, and compliance in a fast-paced manufacturing environment.


 

Essential Duties and Responsibilities:

 

  • Review DL timesheets for accuracy and support supervisors with timely approvals.
  • Track attendance, OT, and manpower trends, highlighting discrepancies for follow‑up.
  • Maintain and update mandatory safety, HR and operations training records.
  • Register employees for required training, coordinate course schedules and maintain training certificates and audit files.
  • Assist with onboarding logistics, including PPE, access cards, and locker assignments.
  • Facilitate smooth transition for new joiners and guide them through HR systems.
  • Handle HR system enquiries from DL employees and triage issues to HR teams as needed.
  • Prepare onboarding packs, HR forms, and templates for supervisors and new employees.
  • Support HRBP to coordinate skip‑level and engagement meetings, including scheduling and follow‑up notes.
  • Support engagement activities, welfare events, and survey administration.
  • Assist HR or productions to administer and process invoices or claims.
  • Prepare manpower, attendance, and training reports for HR, supervisors and HODs.
  • Maintain audit-ready records for HR, training, and production-related documentation.
  • Render necessary assistance to ad-hoc projects and tasks as assigned by HR team and supervisor.



Educational/Certification Requirement

 

  • Diploma, Higher NITEC, or equivalent qualification in Business Administration, HR, Operations, or related fields.

 

Experience Requirement: 

 

  • Minimum 2 years of experience in production administration, HR operations, training administration, or recruitment support.
  • Experience in a manufacturing environment or with DL/shift-based workforce is preferred.
  • Familiarity with time & attendance systems, HRIS, LMS, or training management tools is an advantage.
  • Proficiency in MS Excel, Teams, Outlook, and basic reporting tools.
  • Strong attention to detail and accuracy in handling high-volume data.
  • Good communication and coordination skills across DL employees, supervisors, and HR teams.
  • Strong organisational skills with the ability to manage multiple deadlines.
  • Customer service mindset, especially in supporting frontline employees.
  • Ability to maintain confidentiality with sensitive personnel and payroll data.
