Job Summary

The 3PL Coordinator will be responsible for overseeing all logistics operations at our APO 3PL-managed distribution hub. Acting as the primary point of contact for all 3PL-related activities, this role will ensure seamless coordination of inbound, outbound, and inventory management processes. The role involves monitoring material flows and ensuring accuracy in corresponding system transactions. Additionally, the coordinator will facilitate effective communication and collaboration between the 3PL provider and internal and external stakeholders

Day-to-Day Operations

  • Oversee end-to-end supply chain operations at the APO 3PL hub, ensuring adherence to IDEXX-contracted KPI goals through daily, weekly, and monthly performance monitoring.
  • Supervise inventory movements, inbound and outbound shipment schedules, and ensure timely handling.
  • Manage outbound delivery operations, including:
    • Online consignment booking with freight forwarders.
    • Preparing and verifying shipping documentation for hazardous goods in compliance with IATA standards.
    • Facilitating communication with EXW (Ex-Works) distributors.
  • Monitor and manage inventory levels, ensuring accurate system records, and keep track of non-system managed items such as packaging supplies and perform cost analyses.
  • Manage the reverse logistics flow (inventory returns).
  • Support cycle counts and inventory audits.
  • Address KPI-related issues (e.g., turnaround times), by coordinating with internal teams, the 3PL provider, and other external stakeholders. Facilitate and manage escalations to ensure timely resolution of critical issues.

Exception Handling

  • Address urgent delivery situations, special customer requests, make swift decisions, and escalate matters when necessary to ensure service levels are met.
  • Handle unforeseen operational or system exceptions, coordinate troubleshooting activities and resolve order fulfillment issues by collaborating with internal stakeholders and the 3PL provider to ensure smooth operations.
  • Investigate the root cause of damages and collaborate with Quality Assurance and Planning to determine the appropriate disposition path and resolution.
  • Resolve stock discrepancies and execute scrap transactions to ensure accurate and reliable inventory records.
  • Resolve operational issues between the 3PL provider and freight forwarders to ensure efficient and compliant shipment processes.
  • Identify, analyze, and help resolve operational process issues, implementing corrective actions and driving continuous improvement.
  • Coordinate and manage escalation activities to ensure customer satisfaction and maintain operational efficiency.

Miscellaneous Tasks

  • Prepare and facilitate periodic business reviews with the 3PL.
  • Produce and present business status updates to internal stakeholders.
  • Create and/or update process documentation (SOP / WI).
  • Assist with 3PL staff training reinforcement as needed.
  • Other duties and responsibilities as assigned.
