ROLE PURPOSE
This role is the operational backbone of IIX’s Singapore headquarters. Spanning three interconnected areas — office and administrative operations, commercial contracts support, and program management coordination — it keeps the organization running smoothly while giving the COO and Finance Director meaningful leverage on commercial and program workstreams.
This is not a narrow brief. You will move between reviewing an NDA in the morning, coordinating a cross-functional program check-in at midday, and sorting out an office vendor in the afternoon — and you will find that energizing, not exhausting. You are a systems thinker who takes ownership, closes loops, and makes things work.
KEY RESPONSIBILITIES
1. Office & Administrative Operations
You fully own office operations. No routine administrative or vendor matter should require escalation — the Singapore office runs smoothly, consistently, and without disruption.
• Own the day-to-day running of IIX’s Singapore office — facilities, vendors, supplies, maintenance, and space planning
• Lead the office relocation process from scouting and shortlisting through to fit-out coordination and move logistics
• Supervise the Front Office Support Officer, ensuring CEO and senior leadership administrative needs are handled seamlessly without COO involvement
• Serve as the escalation point for front office matters — scheduling, travel, visitor management, and logistics
• Liaise with HR on onboarding logistics for Singapore-based hires
• Manage office budget tracking, expense reporting, and petty cash
• Ensure office-wide administrative policies are documented, consistent, and followed
• Take ownership of the staff experience at Singapore HQ — you are the keeper of the office culture and energy, ensuring the team feels supported, connected, and motivated
• Lead and coordinate team building initiatives for the Singapore office — planning events, celebrating milestones, and creating moments that reinforce IIX’s PREM culture
• Serve as a point of contact for Singapore-based staff on day-to-day workplace matters, acting as a reliable and approachable presence in the office
2. Commercial Contracts & COO Support
You fully own routine contract review and process control. The majority of contracts are independently assessed and cleared without escalation — only non-standard or high-risk matters are brought forward to the COO.
• Conduct first-pass review of routine commercial contracts — vendor agreements, service contracts, NDAs, MoUs — flagging non-standard clauses and risk areas for COO attention
• Maintain a contracts tracker and manage the full signature, execution, and renewal workflow
• Coordinate with external counsel when escalation or specialist review is required
• Support vendor onboarding, due diligence processes, and procurement workflows
• Draft routine commercial correspondence and internal documentation on behalf of the COO
• Take on special projects and ad hoc workstreams as directed by the COO
3. Program Management Coordination
You maintain accurate, up-to-date tracking of all program deliverables and documentation — the COO and Finance Director have real-time visibility into program status at all times.
• Maintain a consolidated tracker across IIX’s donor-funded programs — covering key milestones, deliverable deadlines, and submission timelines
• Coordinate regular cross-functional check-ins between Program Directors, Finance, HR, and Impact Measurement to keep programs on track
• Support Program Directors with reporting logistics — compiling inputs, formatting donor reports, tracking submission windows, and chasing outstanding items
• Review and track subcontractor agreements under donor programs — ensuring contracts are in place, deliverables are documented, and costs are accounted for in line with donor requirements
• Support the Finance Director with subcontractor-related documentation and audit readiness — maintaining organized records of agreements, invoices, and deliverable sign-offs
• Maintain organized program files and documentation in line with donor and IIX standards
• Flag delivery risks, timeline slippages, or coordination gaps to the COO and Finance Director early
WHAT WE’RE LOOKING FOR
Experience & Skills
• 4–6 years of experience in operations, project coordination, legal operations, or executive administration — ideally in professional services, investment, or a mission-driven organization
• Some exposure to commercial contracts review — ability to read a vendor, service, or subcontractor agreement, identify non-standard terms, and flag areas of concern (legal training not required)
• Experience supporting program or project management workflows — tracking deliverables, coordinating across teams, maintaining documentation
• Comfortable working with subcontractor documentation and audit-ready filing — attention to detail and process discipline are essential
• Singapore market familiarity — local vendor landscape, office leasing norms, and business practices
• Experience managing or supervising at least one direct report
• Strong written English — you will draft correspondence and documentation on behalf of senior leadership
• Highly organized and detail-oriented, with the ability to manage multiple workstreams simultaneously without dropping threads
