Role Overview

This unique dual-role is designed for a dynamic professional who will serve as the heartbeat of our smallest, yet strategically vital, APAC office. You will balance high-level executive support with the operational management of the physical workspace, ensuring a seamless experience for our local team and visiting leaders.

You’ll work closely with other GTM EAs to maintain cross-functional alignment, drive consistency in operations, and contribute to Gong’s evolving admin excellence framework.


Key Responsibilities
Admin Work & Leader Support 
  • Executive Partnership: Proactively manage complex calendars and anticipate scheduling needs for multiple VPs within the GTM organization.
  • Logistics & Planning: Arrange comprehensive travel plans, itineraries, and complete expense reports.
  • Meeting Excellence: Organize and schedule onsite and offsite meetings, ensuring leaders are prepared with agendas, pre-reads, and clear action items.
  • Operational Support: Partner with Revenue Operations to track org initiatives and maintain shared documentation such as org charts and distribution lists.
Office Management 
  • Facility Operations: Serve as the primary point of contact for the APAC office, managing all aspects of current and future facility programs.
  • Vendor & Property Management: Coordinate property management requests and manage relationships with local vendors.
  • Office Experience: Maintain office appearance, manage food/snack programs (including budgeting), and coordinate office access/badge programs.
  • Process Implementation: Create and implement workplace procedures and processes specifically tailored for the APAC office.
Events 
  • Cultural Programs: Create and implement culture and social programs to drive engagement within the local team.
  • Event Execution: Lead the internal coordination and logistics for executive/senior leadership team visits to the region.
  • Logistics: Manage small-to-medium scale team offsites and office events, including setup, AV support, and vendor sourcing.
Communications 
  • Internal Liaison: Serve as the primary liaison between leaders and internal stakeholders across GTM, Finance, and HR.
  • Content Creation: Draft polished org-wide communications, including emails, Slack posts, and meeting follow-ups.
  • Inquiry Management: Quickly and efficiently respond to facilities-related inquiries, ensuring high-quality service delivery to all employees.

Qualifications
  • Experience: 4–6 years of relevant administrative experience supporting senior leaders, preferably within a high-growth SaaS environment.
  • Education: College coursework or equivalent experience in a related field preferred.
  • Technical Skills: Strong proficiency in Google Workspace, Slack, Zoom, and project management tools.
  • Soft Skills: Exceptional organizational and communication skills, with the ability to handle confidential information with discretion.
