Job Title: Receptionist
Location: Thailand, Bangkok
About the role:
The Receptionist is responsible for managing the office front desk, handling incoming calls, and providing administrative support to ensure smooth office operations. This includes assisting the Executive Assistant, greeting visitors, managing document flow, and maintaining accurate records according to Takeda policies.
How you will contribute:
1.Telephone Coordination:
- Answer incoming calls and direct inquiries to the appropriate department.
- Take messages and relay accurate information timely.
- Manage and update the phone directory as needed.
2. Reception Duties:
- Greeting and assist visitors in a professional and friendly manner.
- Manage visitor badges.
- Coordinate with internal staff for visitor appointments and meetings.
3. Mail and Document Handling:
- Sort and distribute regular mail and EMS to the correct recipients.
- Record the receipt and delivery of documents, including international transactions using services like FedEx.
- Scan and record parking cards and manage parking information.
4. Assist the Executive Assistant and Administrative Support:
- Assist the Executive Assistant with assigned tasks such as preparing documents, internal coordination, and other support activities.
- Provide basic administrative assistance such as data entry to reimbursement system, filing, and photocopying.
- Support other departments with clerical tasks when required.
- Manage meeting room bookings and ensure rooms are ready for use.
5. General Office Duties:
- Assist monitor inventory and restock supplies as needed with the in- charged general admin.
6. Safety, Compliance & Medical Information Coordination
- Coordinate and escalate all medical information and requests and related reports accurately and in time. (instructions will be provided).
What you bring to Takeda:
EDUCATION, PROFESSIONAL QUALIFICATION, EXPERIENCE:
High school diploma or equivalent; additional qualifications in office administration are a plus. Proven experience as a receptionist, operator, or in a similar role. Proficient in Microsoft Office Suite (Word, Excel, Outlook, or Canva is an advantage.) Excellent communication and interpersonal skills. Open to fresh graduates with a willingness to learn.
COMPETENCY REQUIRED:
Ability multitasking and organizing. Ability to handle sensitive information with confidentiality.
