The Receptionist and Admin Specialist is responsible for office administration support that encompasses various tasks to ensure a smooth and efficient operation of an office, including reception duties, executive admin support, general office admin services, coordination with facilities vendor, site security support and other miscellaneous admin support.  

This position reports to the Site Security and Admin Manager and is part of the Administration function located at Harbourfront Centre and will be an on-site role. 

What you will do:

  • Reception and administrative duties: visitors management, answering phone calls, mails and courier services, office badge issuance and collection, process business cards request order and replenish pantry supplies. Provide admin support to senior management e.g. calendar management, travel booking, meeting arrangements, claims submission and other assigned tasks.
  • Vendor management: oversees facilities vendor to ensure a clean and organized office environment, raise Purchase Orders for payments to vendors.
  • Site security and crisis management: provide necessary support and perform related tasks in accordance with security and crisis management standard work.

Who you are:

  • Minimum 2 years’ experience in admin support role
  • Experience at Microsoft software advanced level using Excel (Pivot tables, using formulas like Vlookup), Microsoft Word and PowerPoint applications
