About the Role
We are seeking a highly organized, proactive, and detail-oriented Personal Assistant/Administrative Assistant to support the team. The ideal candidate will manage daily administrative tasks, coordinate schedules, and serve as a point of contact between internal departments and external stakeholders.
What You’ll Do
- Calendar & Schedule Management:
- Organize and maintain executive calendars, schedule appointments, and coordinate meetings.
- Check on important meeting invites in the diary and pre-empt Managers well in advance.
- Travel Arrangements:
- Arrange travel itineraries, including flights, accommodations, and ground transportation.
- Follow-up on travel matters with airlines/travel agent (CWT)/embassy/immigration.
- Administrative Support:
- Vendor Set-up/creation in Maconomy.
- Timesheets submission on weekly basis in Maconomy.
- Expenses/claims submission in Maconomy.
- Event & Meeting Coordination:
- Organize internal/external/client calls with multiple time zones via Zoom or Microsoft teams.
- Book necessary meeting room/venue.
- Project Support:
- Follow up and Consolidate deck/files from markets and download to save them (usually heavy files …)
- Help align PPT slides/Keynote/Excel/Word document as and when needed.
What You’ll Need
- Proven experience as a Personal Assistant, Administrative Assistant, or in a similar role.
- At least 2 years of relevant experience.
- Excellent organizational, time-management, attention to details and multitasking skills.
- Pleasant personality with strong interpersonal skills in a professional and responsive manner.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint) and common office software.
- High level of discretion and confidentiality.
