About the Role  

We are seeking a highly organized, proactive, and detail-oriented Personal Assistant/Administrative Assistant to support the team. The ideal candidate will manage daily administrative tasks, coordinate schedules, and serve as a point of contact between internal departments and external stakeholders.

What You’ll Do 

  • Calendar & Schedule Management:
    • Organize and maintain executive calendars, schedule appointments, and coordinate meetings.
    • Check on important meeting invites in the diary and pre-empt Managers well in advance.
  • Travel Arrangements:
    • Arrange travel itineraries, including flights, accommodations, and ground transportation.
    • Follow-up on travel matters with airlines/travel agent (CWT)/embassy/immigration.
  • Administrative Support:
    • Vendor Set-up/creation in Maconomy.
    • Timesheets submission on weekly basis in Maconomy.
    • Expenses/claims submission in Maconomy.
  • Event & Meeting Coordination:
    • Organize internal/external/client calls with multiple time zones via Zoom or Microsoft teams.
    • Book necessary meeting room/venue.
  • Project Support:
    • Follow up and Consolidate deck/files from markets and download to save them (usually heavy files …)
    • Help align PPT slides/Keynote/Excel/Word document as and when needed.

What You’ll Need  

  • Proven experience as a Personal Assistant, Administrative Assistant, or in a similar role.
  • At least 2 years of relevant experience.
  • Excellent organizational, time-management, attention to details and multitasking skills.
  • Pleasant personality with strong interpersonal skills in a professional and responsive manner.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint) and common office software.
  • High level of discretion and confidentiality.
