About the Role

We're scaling in Singapore and need someone on the ground who owns the people and workplace side of things. You'd be the first dedicated ops person in our Singapore office, which means you'll shape how we grow from 5 people to 10, 20, and beyond.🚀

This role sits between our People lead in San Francisco and your team in Singapore. You're the point person making sure everyone has what they need to do their best work - from handling the day-to-day office logistics to making sure new hires feel genuinely welcomed, to keeping our employment and benefits operations clean and compliant across the region.

We’re looking for someone who will care deeply about making people's experience at Exa feel good, whether that's a smooth first day or knowing exactly who to talk to when they have a question. You'll also be the one keeping the gears turning behind the scenes - the office runs, the visas process smoothly, the vendors get paid on time.

What You'll Do
  • Run onboarding for every new Singapore hire - from offer to first day - and make it feel like a warm welcome

  • Help people relocating to Singapore get oriented on the ground - housing, neighborhoods, what they need to know about living and working here

  • Coordinate with our global payroll provider and employment counsel to make sure work permits move smoothly

  • Own benefits administration for the Singapore team, including health insurance coordination and answering employee questions

  • Manage office logistics and facilities as we expand

  • Keep our people data accurate and organized

  • Support our accounting and compliance partners to make sure expense management is clean and accurate

  • Be the friendly first point of contact for employees with questions about benefits, visas, office logistics, or anything else

  • Build the runbooks and systems that let us scale without chaos

  • Help with company events, offsites, and team moments that people actually look forward to

  • Constantly look for ways to improve the employee experience - from small details to bigger operational improvements

What We're Looking For
  • 3-5 years of experience in people ops, HR, office management, or startup operations

  • Familiarity with Singapore employment practices and MOM requirements

  • Exceptional organization - you manage multiple vendors, timelines, and details without dropping things

  • Strong written communication and the ability to be a warm, reliable point of contact for employees

  • Discretion with sensitive information and good judgment about what actually matters

  • A bias toward action - you figure things out independently, especially in a fast-growing environment

  • Strong ownership mentality - you don't wait to be asked to fix problems

  • Genuine care for the people you support, and a real interest in making Exa a place people love working at
