Job Responsibilities :
The role of the Order Fulfillment Specialist is integral to the smooth and efficient operation of the company's order processing and shipment management. This position is responsible for ensuring that Purchase Orders (POs) are processed and fulfilled within the stipulated time, that shipments are delivered and closed promptly, and that accurate records are maintained. In addition, the role involves liaising with internal and external stakeholders, as well as managing reports to track and analyze fulfillment processes.
- Timely Fulfillment of POs: Ensure that all Purchase Orders are processed within the designated timelines, thus preventing delays and maintaining a positive customer experience. With the increasing number of orders and the expansion of the company’s operations, this role is critical in meeting customer expectations for prompt delivery.
- Efficient Shipment Delivery: Responsible for ensuring that all shipments are delivered on time and closed in accordance with company policy. This responsibility ensures that customer orders are fulfilled within promised timeframes, which directly impacts customer satisfaction and retention.
- Maintaining Accurate Shipment Records: Ensure that all shipment records are up-to-date and accurate. In a fast-paced environment, maintaining the highest level of data accuracy is essential for tracking shipments, resolving issues, and providing stakeholders with real-time information.
- Collaboration with Warehouse(s) and Service Provider(s): Close collaboration with warehouse teams and service providers to ensure smooth shipping operations. This involves constant communication and coordination to address any operational challenges, prevent delays, and maintain an efficient workflow.
- Stakeholder Relations: Responsible for establishing and maintaining strong working relationships with both internal teams and external stakeholders. This includes managing communications with various departments such as sales, logistics, and customer service, as well as dealing with external service providers to ensure seamless order fulfillment.
- Reporting and Analysis: Manage an average of 335 Delivery Orders (DOs) per month and handle around 30 shipments monthly. The creation and analysis of reports are crucial for identifying trends, managing performance, and improving efficiency.
Pre-Requisites :
- Bachelor’s degree in Business, Supply Chain, or related field with 2–3 years of experience
- Process POs accurately and ensure timely shipment deliveries
- Maintain accurate shipment records and generate reports to improve efficiency
- Collaborate with internal teams and service providers to resolve issues
- Proficient in ERP systems and Microsoft Office with strong problem-solving skills
- Ensure prompt and accurate order fulfillment to meet customer expectations
