About this role
We’re looking for an Office & Events manager to join our office administration team in Singapore. You will report to and work directly with the Senior Administration Manager as a key member of the team responsible for smooth running of the office and facilities operations in high standard.
You are confident, detail-oriented, friendly with helpful nature, able to effectively communicate with people at all levels. You will play a key role in providing exceptional office management, facilities support, and corporate event scheduling services to a rapidly growing company.
Role Responsibilities
Day-to-day office & facilities management:
- Manage the reception area, which serves as the first point of contact for visitors, vendors, applicants, and employees.
- Oversee the daily operations of the entire SG office, proactively identify and resolve any issues that arise, and provide timely updates.
- Ensure office supplies and facilities are well-stocked and in good condition.
- Monitor the overall office environment, cleanliness, and work atmosphere.
- Manage and oversee petty cash and expense claim submissions, ensuring proper documentation and reporting.
- Manage the Singapore office's budget
- Build good relationship with vendors, providing leadership in negotiating contracts, ensuring agreed service levels are attained, and providing feedback to vendors
- Respond appropriately to event and crisis
- Oversee the travel arrangements for local employees, including detailed itinerary planning and optimizing travel schedules for business needs.
- Support the organization of company events and activities for the Singapore office employees
- Perform receptionist duties: visitors greeting, courier handling, office library management
Facilities projects:
- Highly involved in facilities projects such as office relocation/ renovation
Others
- Assist in other ad hoc tasks, research and projects.
Role Requirements
- At least 3 years hands-on experience in office and facilities management
- A friendly demeanor and approachable personality with willingness to assist all levels of staff within the organization.
- Values punctuality, professional appearance, and attention to detail.
- Get things done - Prioritize, focus and finish.
- High level of ownership. Feel responsible. Speak up if you see a problem.
- Confidentiality and discretion in handling company and employee information.
- Outstanding people skills – on the phone, in writing, and especially in person; the ability to work both independently and as part of a team.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software tools.
