Job Title: HR Operations Specialist

The job
This role primarily provides People Services operational support with a strong focus on payroll operations for AVEVA’s Japan entity, with the potential to expand support to other countries in the future. The role serves as the key point of contact for employees and stakeholders on payroll-related matters, including payroll processing, statutory requirements, and payroll inquiries. It is responsible for addressing employee queries, resolving payroll issues, and providing guidance on benefits administration and relevant HR policies and procedures.
Key responsibilities
Manage and coordinate end-to-end payroll operations for Japan, ensuring accuracy, timeliness, and compliance with all local statutory and regulatory requirements.
Liaise closely with the external payroll vendor to ensure payroll is processed accurately and on time, and resolve any discrepancies or payroll-related issues.
Prepare and validate payroll inputs including salary changes, allowances, overtime, bonuses, commissions, and other payroll adjustments through the HRIS, ensuring all cyclical payroll activities are completed according to the payroll calendar.
Review and validate payroll reports provided by the payroll vendor to ensure payroll calculations, deductions, and statutory contributions are accurate prior to approval and finalization.
Manage Japan-specific statutory payroll requirements including income tax, resident tax, and social insurance contributions (health insurance, pension, employment insurance, and long-term care insurance where applicable).
Coordinate and manage the Japan year-end tax adjustment process, including data collection, reconciliation, validation with the payroll vendor, and employee communication.
Ensure accurate administration and reconciliation of overtime payments in compliance with Japanese labour regulations.
Act as the key point of contact for employees and stakeholders for payroll, benefits, pension, insurance, and health & wellbeing related queries, providing timely and accurate support.
Administer employee benefits programs including DC pension schemes, insurance plans, and other benefits in accordance with company policies and local regulations.
Ensure General Ledger (GL) reports are prepared and submitted to Finance accurately and on time each month to support the month-end close process.
Maintain payroll documentation, records, and audit trails to ensure compliance with internal policies, statutory regulations, and audit requirements.
Support payroll reconciliations, reporting, and internal/external audits as required.
Identify opportunities to improve payroll processes, HRIS utilization, and vendor collaboration to enhance payroll accuracy, compliance, and service delivery.
Essential requirements
Strong ability to interpret and communicate HR policies, procedures, and payroll-related programs clearly to employees and stakeholders.
Solid knowledge of labour laws, statutory requirements, payroll processes, and benefits administration for countries within the assigned scope, with a strong focus on Japan.
Proven experience in managing payroll operations and benefits administration for Japan, including coordination with payroll vendors and ensuring compliance with local regulations.
Good understanding of Japan statutory requirements such as income tax, resident tax, social insurance, and year-end tax adjustment processes.
Strong interpersonal and communication skills, with the ability to work effectively in a diverse and multicultural environment.
Proficiency in both Japanese and English (spoken and written) is required to support employee queries and liaise with various stakeholders and vendors.
Experience working with HR Information Systems (HRIS), particularly Workday, along with payroll systems and reporting tools to support payroll processing, data management, reporting, and analysis.
Proficient in Microsoft Office applications including Word, Excel, Outlook, and PowerPoint.
Desired skills
Diploma or Bachelor’s Degree in Human Resources, Business Administration or related field
Min 4-5 years in Payroll experience especially Japan payroll processing.
