We are looking for a detail-oriented HR & Office Operations Coordinator to support the smooth running of HR, office administration, and workplace operations across APAC. This role combines HR administration, vendor coordination, office management, compliance reporting, and employee support to ensure efficient day-to-day operations and positive workplace experience.


Key Responsibilities


HR & Administrative Operations
  • Coordinate invoices, purchase orders, payments, and procurement activities.
  • Maintain accurate records, documentation, and administrative data.
  • Support logistics, travel, and operational arrangements for employees and teams.
  • Liaise with Finance, HR, vendors, and internal stakeholders to ensure timely completion of administrative processes.

Office & Workplace Management
  • Manage office supplies, courier services, and workplace-related requests.
  • Support reception activities and visitor management when required.
  • Help maintain a professional, welcoming, and efficient office environment.

Compliance & Reporting
  • Coordinate workforce surveys and statutory reporting requirements, including submissions to Singapore authorities such as MOM and IMDA.
  • Support HR and compliance reporting activities across APAC.
  • Monitor deadlines, collect required information, and ensure accurate and timely submissions.

Employee & Stakeholder Support
  • Respond to routine employee, vendor, and stakeholder enquiries.
  • Provide reliable administrative support to HR and business teams.
  • Identify opportunities to improve processes and service delivery.

Job Requirements


  • 3 to 5 years of experience in HR administration, office operations, workplace services, or a similar coordination role.
  • Strong attention to detail and a high level of accuracy when handling data, documentation, and administrative processes.
  • Experience coordinating invoices, purchase orders, payments, or vendor management activities.
  • Good organizational and prioritization skills, with the ability to manage multiple tasks and deadlines.
  • Strong communication and stakeholder management skills.
  • Proficiency in Microsoft Office applications, particularly Excel, Word, and PowerPoint.
  • Ability to work independently while collaborating effectively with regional and cross-functional teams.
  • Experience supporting compliance reporting, workforce surveys, or statutory submissions is an advantage.
