Executive – Human Resources Business Partnering

Embark on a journey of change with MAS, by joining the MAS Activewear team as an Executive – Human Resources Business Partnering. We are on the lookout for a dedicated individual to attend to routine and/or project based assignments as allocated, related to talent acquisition and talent administration, and maintain personal records both manually and electronically in order to contribute to the overall Human Resource services of the organization.
KEY RESPONSIBILITIES
- Entering the profile of the new recruit and new interns to the system and ensuring that the profile is maintained up to date.
- Allocating Resources for the new recruits
- Following up on employee confirmations, fixed term contracts, consultants, secondments across the division.
- Ensuring new recruits and transfers are included in relevant email groups.
- Providing company IDs
- Maintaining the accuracy of the system against the personal files.
- Allocating Resources for new interns, issuing trainee passes, contract letters, contract extension letters, NDA and service letters for the interns. Conducting the clearance of the interns.
- Handling the E & Above employee exit process starting from the time of receipt of the resignation, issuing necessary letters, scheduling exit interviews and preparing relevant ETO Analysis report for the entire division.
- Update and maintaining all the organizational structures for the entire division, ensuring the system changes are done according to the structural changes.
Assisting on evaluating existing JD's to ensure that the relevant roles fit the description and liaising with the project lead when necessary.
Tracking on new roles and whether the existing roles are redundant.
- Ensure that the man power requirements of the organization are fulfilled by supporting the recruitment and selection process as follows:
- Liaise with Heads of Department (HODs)/ HR Business Partners (BPs) in forecasting manpower requirements in order to develop recruitment strategies/ Policy’s deployment.
- Receive Recruitment Requisition Forms (RRFs) and the corresponding JDs from relevant BP (Business Partners) whilst also, drafting recruitment specs and forwarding same for BP approval.
- Liaise with MAS Corporate and HRSS/Advertisement agencies in order to design external advertisements.
- Communicate upcoming job vacancies within the MAS Activewear, circulate same to HRSS in order to attract internal candidates in terms of experience and qualifications needed whilst, posting advertisements externally.
- Shortlist and evaluate applications received based on minimum criteria required to perform the job whilst, verifying applicant’s qualifications/experience against original certificates and other relevant documentation.
- Conduct research on basic technical and soft skills required with regard to job roles in order to enhance the practical knowledge on the same.
- Conduct preliminary interviews and relevant aptitude tests whilst, developing test packs and reviewing same as and when the need arises.
- Select shortlist candidates based on aptitude test results and schedule final interviews with the HOD/ BP.
- Conduct reference/ clearance checks on the shortlisted candidates whilst, liaising with respective SBUs/ persons in order to verify information provided by the candidates.
- Ensure relevant documents such as RRF, Job application form, Interview assessment form/relevant documentation, CVs etc. are duly filed and handed over to BPs or relevant officers in HR departments of SBUs in order to issue appointment letters and prepare other necessary documentation/ Logistics.
- Communicate the final Job offer to the selected candidates approved by the respective Divisional Manager.
- Update relevant data on systems such as Expert Center Share Point/ CV Bank/ Logs (Recruitment project flow) in order to facilitate the timely and accurate availability of information.
- Ensure all CVs received within MAS Activewear is handled with due respect by maintaining and responding to the CVs in a timely and accurate manner whilst, maintaining soft and hard copies of same.
- Develop/ Build and maintain cordial relationships with Universities/ Institutes/ Professional Bodies and follow up closely with same in order to attract potential candidates to fill in organizational manpower requirements.
KNOWLEDGE AND SKILLS
- Degree/ Diploma in Human Resource Management / Business Management
- 2 -3 years of relevant work experience
- Strong communication and negotiation skills
- Computer literacy
